Accounting, billing and retail
Wholesale and Distribution Software for Nepali Distributors
Book orders by salesman and route, control each dealer credit limit, apply schemes correctly and always know who owes you how much.
A distributor in Nepal sells to hundreds of retailers on credit, through a handful of salesmen, on routes that cover several districts. The money sits in dealer balances, post-dated cheques and company schemes that nobody quite remembers. Wholesale and distribution software turns that into a clear picture: who ordered what, who owes what and which salesman is bringing in which collection.
WebsNP configures the system around your trade: company-wise and brand-wise stock, route and beat plans, order booking and delivery, dealer credit limits, scheme and discount rules, cheque tracking and ledgers per dealer. Bills can be set up for 13% VAT where you are registered, with Bikram Sambat dates throughout.
It works best with solid stock records, so read about inventory management software, or compare with hardware shop software if most of your sales are over the counter. Message us on WhatsApp for a demo.
Who Wholesale and Distribution Software is for
FMCG and grocery distributors
You supply retail shops across towns and need route sales, schemes and credit under control.
Authorised dealers of a company
You buy from a principal and sell to sub-dealers, with targets, claims and scheme settlements to track.
Pharmaceutical and cosmetics wholesalers
You need batch and expiry along with dealer-wise ledgers and return handling.
Building material and hardware wholesalers
You sell in bulk units on credit to contractors and shops and chase long outstanding balances.
Traders with a delivery fleet
You load vehicles, deliver against orders and need to match goods out with money in.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| A dealer keeps ordering while an old balance is unpaid | Credit limit and overdue days are checked when the order is booked, and a block or override needs a named person. |
| Schemes are applied from memory and disputed later | Scheme rules are stored with dates and conditions, so the discount or free goods are calculated, not argued. |
| Salesmen report sales but collections are vague | Orders and collections are recorded per salesman and route, with a daily settlement. |
| Post-dated cheques are lost or banked late | A cheque register lists each cheque by date, bank and dealer, with bounced cheques flagged. |
| Stock shown on the register is not what the van carries | Vehicle loading and return are recorded, so undelivered goods go back into stock with a record. |
| Owner cannot see which areas or brands are growing | Reports by route, salesman, brand and dealer show trends without a spreadsheet exercise. |

Built for how Nepal works
Credit-heavy trade
Retailers in Nepal buy on credit and pay on visit days or by post-dated cheque, so ageing, limits and a cheque register are part of the core system.
VAT and PAN on invoices
Invoices can carry dealer PAN and 13% VAT where you are registered. Confirm the billing rules that apply to you with the IRD or your accountant.
Routes across hills and Terai
Beat plans reflect market days, long road trips and seasons when roads close, with salesmen settled when they return.
Bikram Sambat dates and festival peaks
Schemes, cheques and statements can show BS dates, and reports show the Dashain and Tihar buying peaks against earlier years.
WhatsApp and SMS follow-up
Statements, order confirmations and payment reminders can be sent to dealers by WhatsApp or SMS, depending on the sender setup you choose.

How to Choose Wholesale Distribution Software in Nepal

Can salesmen book orders from the field?
The system can be configured for order booking by salesmen, either through a mobile-friendly screen or by passing orders to the office. The best option depends on your phones and network coverage on each route, and we discuss it during the demo.
How are credit limits enforced?
Each dealer has a limit and credit days. When an order is booked the system compares the balance and overdue bills with the limit and warns or blocks. An override can be restricted to a named user, so exceptions are visible.
Can it handle company schemes like free goods or slab discounts?
Yes. Scheme rules with conditions and dates can be set up, such as free pieces on a quantity or discount slabs on value. Complicated principal schemes are mapped with you at set-up so the calculation matches the company circular.
Does it track post-dated cheques?
It records each cheque with dealer, bank, amount and date, shows what is due for deposit, and marks bounced cheques against the dealer ledger. It does not deposit anything for you, but you stop relying on a drawer and memory.
Can I see which salesman and route are most profitable?
Reports show sales, collection and outstanding by salesman, route, brand and dealer. Profit depends on accurate purchase cost and scheme data, so we check those inputs with you before reading too much into margin figures.
Is VAT billing included?
Invoices can be configured for 13% VAT where your business is registered, with dealer PAN. Because rules for registered businesses can change, we confirm current requirements with you and your accountant at set-up.
Can it manage several godowns and vehicles?
Yes. Stock is held by godown and can be loaded to a vehicle for delivery, with delivered and returned goods recorded at the end of the trip. Transfers between godowns are recorded with the person responsible.
What does it cost?
Price depends on users, godowns, salesmen, modules and any mobile requirement. We give a written quote after a demo and do not quote a number before we understand your trade.
