Yoga Studio Checklist: Common Mistakes and Fixes
Studios rarely fail because of the class. They lose money in the gaps around it: an unrecorded visit, an unpaid balance, a pass that quietly expired or a message that never went out. The checklist below turns those gaps into a short routine, followed by the mistakes that cause them and a small walkthrough of a typical week.
Daily opening checklist
- Open today's timetable and check that each class has an instructor and a room.
- Look at bookings and the waiting list for the first two classes.
- Keep the attendance screen or sheet ready at the entrance.
- Check that the payment QR and receipt book or system are working.
- Read any notes left from yesterday, such as a member asking to renew.
During classes
- Mark attendance in the first ten minutes, not at the end.
- Offer walk-ins a drop-in or intro pass and record the payment straight away.
- Note any no-shows, since your cancellation rule depends on them.
- Keep a short note of any room or equipment problem for the owner.
Daily closing checklist
- Confirm every attended member is marked and every payment is posted.
- Match cash, bank and QR totals with the day's collection report.
- Send tomorrow's class reminders.
- Note passes expiring in the next three days.
Common mistakes and their fixes
| Mistake | Fix |
|---|---|
| Pass counts kept in memory | Reduce the count at attendance, never later. |
| No capacity limit | Set a number for each class and respect the waiting list. |
| Unclear cancellation rule | Write one rule, display it and apply it to everyone. |
| Instructor swaps agreed only by chat | Change the calendar so the record and the pay report match. |
| Advance for a workshop not tracked | Post it against the event and show the balance. |
| Everyone shares one login | Give each staff member their own, with roles. |
Month-end checklist
- Print collection by BS month, with payment modes separated.
- List lapsed members from the last two months and plan a gentle message.
- Check instructor classes taught against what you agreed to pay.
- Look at attendance by class and decide what to keep, move or drop.
- Export data for your accountant and take a backup copy.
A typical week, walked through
On Sunday evening the desk checks the week's timetable and sends reminders for Monday morning. A member books Monday's class by phone, the class reaches capacity and the next two members join a waiting list. A cancellation before the cut-off releases a spot and the first person on the list is offered it. Attendance is marked at the door and each pass count drops. On Thursday a list of passes ending within a week is exported, and three members receive a renewal message. On Friday a workshop advance is recorded against the event. At month end the owner opens the attendance report and sees that the Tuesday evening class has been full for weeks, so they add a second session. Every step is recorded without a diary.
That is the flow the yoga and fitness studio software is built around. If a salon or spa shares your premises, see salon and spa software for appointments and services.
Training the desk and the instructors
A checklist helps only if the people using it have practised. Before going live, run a mock class day: book a few imaginary members, mark attendance, sell a drop-in and close the day. Let every desk staff member and instructor do it once. Keep a one page cheat sheet at the desk with the three most common tasks: booking, attendance and pass sale. After the first week, ask staff which step felt slowest and adjust the set-up, because small changes to screens and templates often save minutes every day.
Keeping members informed without spamming
More messages do not mean better communication. Send class reminders only to booked members, expiry messages once or twice and workshop announcements to those who joined before. Give members an easy way to say they do not wish to receive promotions. A studio that respects this keeps its WhatsApp number trusted and its messages read.
Next step: print the opening and closing checklists, use them for a week and note which steps feel slow. Message us on WhatsApp and we will show how the software handles them.
