Studio Software vs Diary and WhatsApp Groups: Cost

Updated 15 Oct 2026 ยท 6 min read ยท WebsNP team

Many studios in Nepal run on a diary for payments and a WhatsApp group for each batch. It feels free, and for one instructor with a dozen regulars it can be enough. The cost shows up as soon as the studio has several classes, passes and a second instructor. This article helps you measure it and compare it fairly with studio software, without inventing prices.

What the diary and the groups handle well

A diary is quick to write in and always available. A WhatsApp group reaches members instantly and feels personal. For announcing a cancelled class or sharing a workshop poster, a group is hard to beat. The problem is that neither tool counts anything. They cannot tell you how many classes a member has left, who is on the waiting list or which time slot earns the most.

Where the real cost hides

  • Empty spots. A class with ten mats and six people is lost income, especially if a waiting list existed but nobody could see it.
  • Unrecorded classes. A member attends more classes than the pass allowed because no one was counting.
  • Late renewals. Members drift away when no one reminds them that a pass is ending.
  • Admin time. Every evening someone copies attendance into the diary, replies in groups and works out who owes what.
  • Instructor disputes. Without a record of classes taught, pay becomes a discussion.

How to measure your own numbers

For one month, record how many classes ran below half capacity, how many members let a pass lapse without renewing and how many hours the desk spent on admin each week. As an example only, if a studio finds that a few lapsed renewals a month could have been saved by a timely message, multiply that by the pass value. Your result will differ, so use your own register rather than anyone else's figures.

What drives the price of software

The quote depends on the number of rooms or branches, users, optional modules such as retail or QR attendance, the effort of importing existing members and the training needed. Ask whether the price is one time or recurring, what support is included and whether sending WhatsApp or SMS messages is paid to a separate provider. WebsNP shares a written quote after a demo because studios differ so much.

A sensible middle path

Keep the WhatsApp group for friendly announcements, and move the counting, bookings and payments to software. Members still chat in the group, but the facts, such as passes left and spots free, live in one system. If you also offer private sessions, the appointment booking software page shows how single bookings are handled.

When to wait

If you teach a small group of regulars, sell one monthly fee and have no waiting list, a diary may serve for now. Consider moving when you add a second instructor, introduce class-count passes or start turning people away.

Questions to ask about any quote

Whichever product you consider, ask the same list so quotes can be compared fairly.

  • Is the price one time, yearly or monthly, and what happens after the first period?
  • Is member import, set-up and training included?
  • Are WhatsApp or SMS costs included, or paid to a messaging provider?
  • What does an additional room, instructor or branch add?
  • Can you leave and take your data with you?

Write the answers in a table. A quote that looks cheaper but leaves out training or import often costs more once those are added. A fair quote makes these items visible from the start, and WebsNP gives them in writing after the demo.

The time cost nobody counts

Owners often forget their own time. If the owner spends an hour each evening reconciling the diary and the groups, that hour has a value, and it grows as the studio grows. Time freed from admin can go to teaching, planning workshops or following up members, which is where a studio actually grows.

See the yoga and fitness studio software page for the full module list. Next step: track empty spots and lapsed passes for one month, then send the numbers to us on WhatsApp for a realistic demo.
