Ad Campaign Management Checklist for Nepali Agencies
A campaign is a chain of small promises, and it breaks at the weakest link. The brief was vague, the plan was not approved, a site was booked twice or the invoice went late. A written checklist, kept inside your system or beside it, keeps every campaign honest. Here is one that suits a Nepali agency, followed by the most common mistakes.
Before the campaign: brief and plan
- Client, brand and contact person recorded
- Objective written in one sentence, such as launching a product or driving store visits
- Budget range agreed and written down
- Start and end dates, in BS and AD
- Target area and audience
- Media choices and why
- Deliverables and who is responsible for each
The brief is the contract with yourself. When the client later says the campaign was not what they wanted, the brief is where you start.
Approval stage
- Quotation sent with validity date
- Written approval received and attached
- Advance requested and recorded
- Creative proof signed off by the person authorised to do so
- Changes after approval recorded as amendments with cost
Ask who has the authority to approve on the client side. Approval from a marketing assistant is not the same as approval from the managing director when budgets are large.
Booking and production
- Sites or slots confirmed and not double booked
- Vendor booking confirmation received
- Printing quantities and sizes checked against each site
- Installation or broadcast dates scheduled
- Tasks assigned to named staff with due dates
For outdoor work, check every size twice. A flex printed 10 per cent too small is a reprint at your cost. Keep the measured site size in the site record and print from it.
During the campaign
- Proof of display photos with date for each site
- Radio or television play reports collected from the station
- Digital metrics exported and saved at agreed intervals
- Damage or lighting problems logged and fixed
- Client updated on a regular schedule
Clients forgive problems that are reported early and fixed fast. They rarely forgive problems they discover themselves.
After the campaign: billing and review
- Final proof report sent
- Invoice raised with advance adjusted and VAT at 13% where it applies
- Vendor bills matched and paid
- Campaign margin calculated
- Learnings noted: what worked, what did not
- Renewal or next campaign discussed
Digital campaigns: what to record
Digital work needs its own lines in the checklist. Record the platform, the ad account owner, the budget cap, the start and end dates, the targeting in plain words and the reporting day. Note who holds the login and who pays the platform, because disputes often arise when a client wants to take over an account at the end. Keep exported reports each month so results can be shown later even if the platform changes its dashboard. If you bill the ad spend through the agency, show it as a separate line from your fee so the client sees what went to the platform and what was your service.
Seven common mistakes
- Starting before the advance arrives. You then finance the client's campaign.
- Verbal changes. Always send a short written confirmation of each change.
- No proof. Without photos and dates you cannot defend the invoice.
- Billing at the very end. Bill milestones, not just the finish line.
- Ignoring vendor dues. Late vendor payment damages the relationships that give you good sites.
- Not measuring margin. A campaign that looked busy may have lost money after printing and installation.
- No renewal diary. Campaigns that end silently lose clients quietly.
Review the campaign after it ends
Hold a short review within a week of the final invoice. Compare the planned budget with actual cost, note any site or vendor that caused trouble and record what the client said. Keep the review with the campaign so the next account manager who handles this client starts with real knowledge. Over a year, these notes become your best sales tool, because you can tell a prospect honestly what has worked before.
A short walkthrough of a generic campaign
Imagine a local brand wants a one month festival campaign: three hoardings, an FM radio package and social posts. The account manager opens the campaign with the brief and budget, and the system shows three free sites for the dates. A plan with rates is sent, the client approves and pays an advance. The creative is approved, flex is printed to the recorded sizes and installed, with photos attached. Radio spots run and the station sends a play report. At the end the proof report goes with the invoice, the advance is adjusted, vendor bills are matched and the margin is calculated. Nothing depends on one person's chat history.
Turning the checklist into screens
A checklist helps only if people use it. In software, each stage becomes a status, each approval a stored record, and each overdue item a visible alert. That is how our advertising agency software is designed, and WebsNP configures the stages to the way your agency works. For customer follow-up beyond campaigns, our bulk SMS and WhatsApp software may also help.
