How to Choose Advertising Agency Software in Nepal

The right advertising agency software should answer four questions without a phone call: what is running for each client, where is each hoarding or slot booked, what have we billed and what has been paid. If a system cannot answer those, it is only an invoice printer. This guide helps an agency owner in Nepal choose well.

Know which kind of agency you are

Agency software for a hoarding company looks different from software for a social media team. An outdoor agency needs site inventory, availability calendars, rent, installation and permit dates. A creative agency needs briefs, tasks, approvals and retainers. A media buying agency needs plans, insertion orders and vendor payments. Many Nepali agencies mix these, and the system must be flexible enough to hold all of them under one client and campaign.

Write down your services in order of revenue. The top two should be handled perfectly, and the others adequately.

Core features to look for

  • Client and campaign records. Every campaign belongs to a client, with a budget, dates, a brief and a list of deliverables.
  • Booking calendar. For outdoor or time-based media, it should show clashes before they happen.
  • Media plan and quotation. A plan with rates, discounts and dates that can be sent and approved.
  • Vendor payments. The amount due to each hoarding owner, printer or station, linked to the campaign.
  • Client invoicing. With VAT at 13% where it applies, service charges and advances.
  • Profitability. Billed amount against cost, per campaign.

Why linking vendor bills to campaigns matters

Agencies usually pay media first and bill clients later, or the other way around. If vendor bills sit in one place and client invoices in another, you cannot see the true position of a campaign. A good system ties both to the campaign so you can see money going out, money coming in and the gap. This is the single most useful feature for cash flow.

Approvals and proof

Disputes in advertising are usually about approvals and proof: the client says they never approved the colour, or that the ad did not run for the full period. Ask how the system records approval, with date and person, and how it stores proof of display such as site photos. These records protect the agency and keep client relations calm.

Reports an owner should expect

Ask which reports come ready made. At minimum you want a list of running campaigns with end dates, site occupancy by month, unbilled work, overdue invoices by client, vendor dues and margin by campaign. If a report you need is missing, ask whether it can be added and how long that would take. A system that cannot show you these views will leave you exporting data to a spreadsheet, which defeats the purpose.

Mistakes to avoid

  1. Choosing generic project management only. A task board will not manage hoarding availability or vendor dues.
  2. Ignoring the accounting link. If invoices cannot be exported or matched to your books, your accountant will retype them.
  3. Underestimating data entry. Existing sites, clients and open campaigns need to be loaded. Ask the vendor who does this.
  4. Skipping role permissions. A designer need not see agency margins. Check that access can be limited by role.
  5. Buying for the future you imagine. Start with what you need now and add modules as you grow.

Questions to ask the vendor

Ask for a demo using one of your own campaigns. Ask how Nepali and English text is handled, how BS and AD dates appear, what reports are included and which can be built, and what happens to your data if you leave. Ask who answers when something breaks on a campaign launch day, and how quickly. Ask how the quote is built, since honest pricing reflects users, modules, hosting and customisation rather than a magic number.

Think about who will actually open it

An agency has several kinds of users, and each wants something different. The account manager wants clients, plans and approvals. The designer wants a task list with the brief and files. The field supervisor wants a site list and a place to upload photos from a phone. The accountant wants invoices and vendor bills. The owner wants a single view of campaigns, dues and margin. If the system forces everyone through the same crowded screen, adoption will fail. Ask to see the screen each role would use, and ask whether a field person can upload a site photo from a mobile browser.

Check how it handles a real week

During the demo, run a real scenario. A client wants a hoarding in Kathmandu for one month starting next Sunday, plus a week of radio. Can the vendor show availability, a quotation, approval, booking, a vendor bill and an invoice in a few minutes? If the answer involves exporting to a spreadsheet at every step, the system will frustrate your team within weeks.

Next step

Shortlist two systems, run the same scenario and ask your account manager and accountant which they preferred.
