Advertising Agency Invoicing and Payments in Nepal

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

Advertising agencies have a cash flow shape that surprises new owners. You commit money to media, printers and freelancers first, then invoice the client, then wait. A client who pays two months late can empty your account even when the business is profitable. Good invoicing and payment records are not paperwork; they are survival. This article is about record keeping and is not tax advice, so please confirm your obligations with your accountant and the Inland Revenue Department.

Decide how you bill before the campaign starts

Agencies bill in different ways: a fee on top of media cost, a commission from the media owner, a fixed retainer, or a project price. Write the arrangement on the quotation. Specify whether media is billed at cost, whether a service charge applies and what happens if the client changes the plan. Disputes usually come from assumptions that were never written down.

What a campaign invoice usually contains

  • Client name, address and PAN where required
  • Invoice number and date, in BS and AD if you prefer both
  • Campaign name and period
  • Line items for media, creative, printing, installation and fees
  • Advance received and adjustments
  • VAT at 13% where it applies, and the total

The format required for your business depends on your registration and current rules. Software can store the layout your accountant approves and number invoices in sequence so no number is skipped.

Advances reduce your risk

For media-heavy campaigns, ask for an advance that covers the vendor cost, not just a token. A common approach is a first payment on approval, a second when the campaign goes live and the balance after the proof report. The exact split is a commercial decision, but writing it on the quotation makes it normal. Record every advance against the campaign and show the running balance on each invoice.

Track vendor bills next to client invoices

For each campaign, record bills from hoarding owners, printers, stations, newspapers and freelancers. Mark which are paid, which are due and which are disputed. The comparison between money collected and money owed on a campaign is the real picture, and most agencies never look at it until trouble arrives.

QuestionWhere the answer should be
How much did we bill this client?Client invoices
How much have they paid?Receipts linked to invoices
How much do we owe media and vendors?Vendor bills by campaign
What is the campaign margin?Billed less cost
Who is overdue?Ageing report by client

Follow up without friction

Late payment is a relationship problem as much as a money problem. Agree a routine: send the invoice with the proof report, remind on the due date, call after a week and escalate to a senior contact after that. Many agencies send reminders by WhatsApp or SMS with the invoice number and the exact balance. The message should be short, polite and specific. A system that lists overdue invoices by client makes the routine easy to run.

Retainers and recurring billing

Digital and creative agencies often work on a monthly retainer for social media, content and design. A retainer needs a clear scope: how many posts, how many revisions, which platforms and what is extra. Write the scope on the contract and keep a monthly record of work delivered against it. When a client asks for more than the scope, you can show the record and quote the extra politely instead of absorbing it. Recurring invoices should be generated on the same day each month and sent with a short summary of what was done, which also reminds the client of the value.

Taxes withheld by clients

Some clients, particularly larger organisations, may deduct tax at source when they pay. If that applies to you, record the amount withheld separately from the cash received, with the certificate or reference, so the invoice balance and your books both reconcile. Ask your accountant how to treat it in your case.

Payment modes in Nepal

Clients pay by bank transfer, cheque, cash and increasingly by QR or wallet. Record the mode and reference against each receipt. Cheques should be marked as received and later cleared, since a bounced cheque changes the picture. Software can record payments that reach your own accounts, but do not assume any direct connection to a payment provider unless it has been agreed and set up.

Handling changes and credit notes

Campaigns change. A hoarding is withdrawn, a radio spot is cut or a client reduces the budget. Record the change as a revised plan and, where an invoice has already been issued, a credit note that refers to it, with the reason. Do not overwrite old figures. The audit trail helps your accountant and protects you.

Month-end routine for agencies

  1. List all running campaigns and the amounts not yet billed.
  2. Issue invoices for completed milestones.
  3. Review overdue invoices and call the largest first.
  4. Pay vendors by priority and record each payment.
  5. Send your accountant the month's invoices and receipts.
