Excel vs Insurance Agent Software: Is It Worth It?
Most agents begin with a diary, then Excel. Both are fine for the first hundred policies. The question is when they stop being fine, and what a tracker is worth to you. This article compares the two honestly. It explains the cost drivers behind any software quote without inventing prices, and gives you a method to estimate your own payback using your lapse and renewal numbers.
What Excel does well
Excel is flexible and free to start. You can design columns for exactly what you need, sort by due date and filter by insurer. For an agent with a small portfolio who opens the file every morning, it can work for years. It also exports easily, which makes it a good first step before software.
Where Excel starts to fail
- It never reminds you. The sheet only helps on days you open it.
- Dates are calculated by hand. A wrong due date silently becomes a lapsed policy.
- Families are split across rows. You cannot see the whole picture of a client easily.
- Documents are elsewhere. Policy copies sit in phone galleries or paper files.
- Several versions exist. Phone, laptop and office copy disagree.
- Sharing is clumsy. In an agency, giving one agent access means giving all of them everything.
- History is missing. You cannot tell who changed a date or when.
What a tracker adds
A tracker calculates due dates, shows the daily list, groups the family, stores documents and keeps a log of calls, messages and collections. It prepares reminder messages, supports a renewal pipeline and gives reports of lapses, renewals and commission. In agency form, it separates agents\' portfolios and lets the owner see totals.
Cost drivers in a quote
| Driver | Effect |
|---|---|
| Users | One agent or a team of many |
| Clients and policies | Capacity and import effort |
| Modules | Reminders, renewals, collections, commission, claims log |
| Messaging | Prepared templates, or integration with a sending channel |
| Hosting and backup | Your device or an online service |
| Customisation | Fields, reports and wording |
| Support | Training and annual maintenance |
We do not publish prices on this page. We quote after a demo, because a solo agent and a thirty-agent agency need very different setups.
Estimating your payback
Use your own numbers. Ask: how many policies lapsed or were renewed late last year because of a missed reminder? What is the typical annual premium and the commission you earn on it? Multiply the number of avoidable lapses by the lost commission over the life of the policy, then add the renewal commission you might have earned in following years. Add the hours you spend searching for information and assembling lists. Compare the total with the yearly cost of the software.
As an illustration only: if a tracker prevented a small number of avoidable lapses a year and each policy carried years of renewal commission, the saved commission could exceed the cost of the tool. That is an example, not a promise. Your own portfolio decides.
The non-monetary benefits
Clients notice an agent who calls before the due date and remembers the family. That earns referrals, which are the lifeblood of insurance sales. A tracker also makes it easier to take a holiday, hand over a portfolio to a colleague or retire, because the information is not trapped in your head.
When Excel is enough
Stay with Excel while you have under a hundred or so active policies, a single device and a consistent habit. Make it safer by using a clear structure, one master copy and weekly backups. Save a copy of the policy schedule for each client in a folder named with the policy number.
Signs you should switch
- You have missed a date in the last year
- You sell both life and non-life and cannot see the whole client
- You run a team and need separate portfolios
- You spend more time keeping the file than calling clients
Next step
Count last year\'s lapses and late renewals and note the reason for each. Share the numbers with us on WhatsApp, and we will show how the insurance agent software would have handled them. If your agency also keeps staff and commission records, see HR management software.
