Insurance Agent Software in Nepal: What to Look For
The right insurance agent software does three things well: it remembers every date, it keeps the whole client in one place and it makes follow-up a ten-minute morning habit. Everything else is optional. This guide shows what to look for when choosing a policy tracker in Nepal, the mistakes agents make when buying, and the questions to ask before you pay.
What an agent actually needs
An agent is not an insurer. You do not need underwriting engines or claims adjudication. You need to know who owes a premium next week, whose motor policy expires next month, which client has a child with no education plan and what commission is due. The tool should be fast to use on a busy day, ideally from a phone as well as a desk.
The features that matter
Client and family profile
Insurance is a family conversation. The profile should hold the client\'s contact details, date of birth, occupation, spouse, children, nominees and notes. When you see the family together, you can spot gaps and speak sensibly at renewal time.
A policy register that fits Nepal
You need fields for the insurer, plan name, policy number, start date, term, sum assured, premium amount and mode. For short-term policies, add an expiry date and the asset covered, such as a vehicle number. Allow free-text notes and attachments for the proposal form, policy copy and KYC.
Premium due list and reminders
This is the main reason to buy. The system must calculate the next due date from the start date and premium mode and show a list for today, this week and this month, plus overdue premiums. Reminders should be prepared in advance with the client name, policy number and amount, in Nepali or English, ready to send by WhatsApp or SMS.
Renewal pipeline
Motor, health, property and travel policies expire. A renewal pipeline lists them by expiry month with a status such as not contacted, quote requested, awaiting payment and renewed. It helps you start early, not on the last day.
Commission tracking
Record the commission you expect on each policy so you can compare it with the insurer\'s payment. Rules vary by insurer, plan and year, so the system should let you enter amounts or percentages that you have confirmed in writing, rather than assume them.
Features you can skip
- Premium calculators for plans the insurer prices; use the insurer\'s own tools instead
- Elaborate marketing automation that duplicates WhatsApp
- Policy issuing features that require insurer integration you do not have
Questions to ask the vendor
| Question | What a good answer looks like |
|---|---|
| Can I add my own insurers and plans? | Yes, without paying for custom work |
| How are due dates calculated? | From the start date and mode, with manual override |
| Can I see all policies of a family? | Yes, from one screen |
| Does it work on a phone? | Yes, in a mobile browser at least |
| Where is the data stored and backed up? | Clear answer with backup schedule |
| Can I export everything? | Yes, to Excel |
Data protection matters
You hold identity documents, health information, nominee details and income data. Treat them as confidential. Use a tool with logins, backups and the ability to restrict access. In an agency, make sure each agent sees only their own clients unless the owner decides otherwise. If you ever leave the agency or change the software, you should be able to export your own client list.
Do not confuse tracking with advice
Software helps you serve clients. It does not decide what is suitable for them. Policy terms, benefits, exclusions, grace periods and revival rules come from the insurer and the policy document. Use the system to remember and organise, and the insurer\'s documents to explain.
Mistakes agents make when buying
Buying a large system built for insurers, when an agent needs a tracker. Spending weeks entering perfect data before using it. Forgetting to define reminder timing. And not planning for backups. Start with the clients whose dates fall in the next sixty days, so the software pays back from the first week.
Next step
List your five hardest-to-remember things, such as quarterly premiums, motor renewals or nominee changes, and ask any vendor to show how they appear. See how our insurance agent software handles them, and ask for a quote after the demo. If you also lend or collect instalments, loan management software uses a similar due-date approach.
