Microsoft 365 Personal, Family or Business: Which to Buy?

Updated 15 Oct 2026 ยท 8 min read ยท WebsNP team

Choose Microsoft 365 Personal if you are one person who needs the apps, Family if several people in one household will share, and a Business plan if you run an organisation and want business email, Teams and central control. Plan names, limits and prices are set by Microsoft and change, so confirm the current details at the time of your order.

Start with who will use it

The number of users and their relationship decides most of the choice. One freelancer is different from a family of five, which is different from a company of fifteen staff with a shared office. Write down every person who needs the apps, which device each uses and whether any of them need an email address on your business domain.

A plain comparison

Treat this as a map, not a promise. Always ask for the plan details Microsoft lists at the time you buy.

Web apps or desktop apps

Some business plans include only the browser versions of Word, Excel and PowerPoint, while others include installed desktop apps. If your staff work on large Excel sheets or need full features offline, check this point carefully. A plan that sounds cheaper may not include what your accountant needs every day.

Do you need business email

Using a Gmail address for official letters and tenders is common in Nepal, but a mailbox on your own domain looks more professional and stays with the company when staff change. If you want this, ask whether the plan includes a mailbox, how the domain is connected and who handles the technical setup. WebsNP can talk through the domain side separately if you need it.

Storage, backup and sharing

OneDrive storage per user is set by the plan. Cloud storage helps with sharing and recovery but is not a full backup strategy. Keep a copy of vital files on a local drive as well, because internet and power interruptions still happen.

How to buy without an international card

If your card will not pay Microsoft directly, WebsNP helps buyers arrange a subscription without an international card. We are not an official Microsoft reseller or partner. We confirm the plan, term and amount in writing before you pay, take payment in a way we agree with you and confirm the order. We do not describe how accounts are set up beyond that, because the details depend on the plan and on Microsoft. See the Microsoft 365 Nepal page.

Questions to ask before paying

  • Which exact plan and for how many users?
  • Does it include desktop apps or only web apps?
  • How much storage per user?
  • What is the term, and what happens at renewal?
  • Is anything extra needed, such as a domain or add-on?
  • Who do I contact if it does not work?

Common scenarios and a sensible starting point

A college student writing assignments and building slides on one laptop is the classic Personal user. A household where a parent, two children and a grandparent all need Word and cloud storage fits the Family idea, as long as the plan terms allow that kind of sharing. A twelve-person consultancy that wants its own email addresses, shared files and online meetings belongs on a Business plan. A school with teachers and administrative staff may need several accounts with central control, and should ask about education options directly with the vendor, because eligibility rules for education plans are set by Microsoft.

Mistakes to avoid when choosing

  • Buying Personal for a company, which usually does not match the terms meant for business use.
  • Choosing a web-only business plan, then discovering the accountant needs desktop Excel.
  • Forgetting that every person who needs an email address or storage may need their own seat.
  • Paying for advanced security or AI add-ons that nobody will use in the first year.
  • Assuming the plan you read about last year is still the plan on sale today.

When in doubt, start with the smallest plan that meets your real needs and change later if the vendor allows it. Ask about upgrade and downgrade rules before you pay, since they differ by plan and are decided by Microsoft.

Think about the next two years

Choose for today and the near future, not for an imagined future. If you plan to hire five people next year, check that the plan can add seats easily and what that costs. If you expect to move to a different domain or merge with another office, ask whether that is straightforward. Plans can be changed, but moving files, email and users takes effort, so a small amount of planning now saves a lot of work later.

Your next step

List your users and what each person does all day. Then message WebsNP on WhatsApp on +977 9846280400 and ask for the current options. If you also create designs, look at Canva Pro, and if your office needs a document register, see document management software.
