Microsoft Office in Nepal: Unicode, Preeti and Excel Records
Nepali offices using Microsoft Office hit the same problems again and again: documents typed in Preeti that look like nonsense on another computer, dates that mix Bikram Sambat and AD, and Excel sheets that grow messy. Fixing these habits matters more than which plan you buy. This guide covers the practical points, and it is about software and record keeping, not legal or tax advice.
Preeti and Unicode in plain words
Preeti is a legacy font that maps Nepali letters onto Latin keys. The file stores Latin characters and only looks Nepali if the Preeti font is installed. Unicode stores real Nepali characters, so the text displays correctly on any modern device, can be searched and works in cloud apps and on phones. Government forms and old office files are often in Preeti, so you will meet both for some time.
| Preeti (legacy) | Nepali Unicode | |
|---|---|---|
| Needs font installed | Yes | No, works with common fonts |
| Search and copy | Poor | Works |
| Works in web and mobile apps | Often broken | Works |
| Best use | Old files only | New documents |
Moving to Unicode without chaos
- Type all new documents in Unicode.
- Use a trusted converter for old files and always proofread the result.
- Keep the original file until the converted one is checked.
- Agree one Unicode font for letters and reports so they look consistent.
- Test printing, since some presses expect Preeti or Unicode in a specific way.
Handling Bikram Sambat dates
Excel and Word work natively with AD dates. For BS, many offices store the BS date as text in a separate column, such as 2083-07-15, and keep the AD date for calculations. Decide on a standard format, label the columns and do not mix them within a column. Be careful when sorting text dates, because a wrong format can place months in the wrong order. If you do heavy BS date work, consider a system built for it instead of a spreadsheet.
Keeping Excel records tidy
- One table per sheet with a header row and no merged cells in the data.
- One row per item, one column per fact.
- Data validation lists for fields such as ward, category or status.
- Locked cells and protected sheets for formulas.
- A dated copy saved before any big change.
Excel is excellent for analysis and small records. When several people enter data daily, or when you need invoices, stock and ledgers connected, a proper system reduces errors. See accounting software or inventory management if your sheets are doing that job today.
VAT, payroll and official returns
Many offices keep VAT registers or salary sheets in Excel. Rules, rates and filing requirements are set by the Inland Revenue Department and other authorities and can change. Confirm the current requirements with the official body or your accountant. Software can help you hold the records, but it does not replace professional advice.
Why use a genuine subscription
Cracked Office copies can carry macros and malware that attack the very spreadsheets you rely on. They also stop receiving updates. WebsNP helps buyers in Nepal arrange a genuine Microsoft 365 subscription without an international card. We are not an official Microsoft partner, and Microsoft sets features and limits. Typing Nepali comfortably
Staff trained on Preeti often resist Unicode because the keyboard feels different. Most systems offer a layout that mimics the traditional typewriter positions, and a phonetic layout for those who think in Roman letters. Let people choose the one they find easiest and give them a week to adapt. Install a clear Unicode Nepali font on all office computers so that letters and tables look the same on every machine. Test conjuncts, the numerals and the rupee-related words that appear on your invoices.
A spreadsheet health check
- Can a new employee understand the sheet without a long explanation?
- Are formulas visible, consistent and protected from accidental edits?
- Is there a single source of truth, or do three people keep three copies?
- Can you recover last week version if somebody breaks the file?
- Does the sheet rely on one macro that only one person understands?
If you answer no to several of these, treat the spreadsheet as a risk and plan either a cleanup or a move to a purpose-built system. Cloud versions of files with version history help, but only when the team really works in the shared copy, not in emailed duplicates.
A realistic plan for an office with years of Preeti files
You do not have to convert everything. Sort files into three groups: active files that people edit, reference files that are only read and archive files that nobody opens. Convert active files first as they are touched. Keep the Preeti font installed on one or two computers for reference files, and move to Unicode for everything new. After a year, most of what matters will be in Unicode without a painful conversion project.
Your next step
Pick the five documents your office uses most and decide which ones should be converted to Unicode first. Then check your Excel records for merged cells and mixed dates. If you want a current subscription, message WebsNP on WhatsApp for options.
