Microsoft 365 Subscription ยท Guide
Set Up Microsoft 365 for a Small Office in Nepal
A good Microsoft 365 setup for a small office comes down to five decisions made before you invite anyone: who is an administrator, how files are organised, how email is named, who can see what and how backups work. The steps below suit an office of three to thirty people. Menu names and features change, so follow what Microsoft shows on screen.
Step 1: Decide who owns the account
Use a mailbox that the business controls for the main administrator, not the personal email of one employee. If that person leaves, you must still be able to sign in. Have two administrators if the plan allows, and write down the recovery details in a safe place. Turn on two-step verification for administrators from the first day.
Step 2: List users and naming
Make a sheet of every person, role and device. Choose a consistent address pattern such as firstname@yourdomain, and decide how you handle shared addresses like info@ or accounts@. If you want business email, check whether your chosen plan includes it and how your domain connects. Domain records are technical, so ask for help rather than guessing.
Step 3: Design the folder structure
Disorder starts in the first month. Agree on a simple structure before staff start saving files.
- Top level by function: Accounts, Admin, Projects, HR, Marketing.
- Inside Projects: one folder per project with year and name.
- Use the same date format everywhere. If you use Bikram Sambat in file names, say so in your office rules.
- Keep personal drafts in each user own OneDrive and shared work in a shared library.
Step 4: Set permissions
Give staff access to what they need, not everything. Salary sheets, bank details and agreements should sit in a folder visible only to the few who need them. Prefer sharing a link with named people over opening a folder to the whole office. Review access when staff change roles or leave.
Step 5: Set up Teams if included
Create a small number of teams or channels, such as General, Accounts and Projects. Too many channels cause confusion. Agree on a rule: decisions in writing in the channel, quick questions in chat, and important files in the shared library rather than attached to messages.
Step 6: Plan a backup routine
- Cloud files sit in OneDrive or SharePoint within your plan storage.
- Once a week, an administrator copies key folders to an external drive.
- Keep that drive in a different place from the office computers.
- Test restoring one file each month so you know it works.
Step 7: Train the team in an hour
Show everyone how to save to the right place, share a link, join a meeting and recognise phishing emails. Most office security incidents begin with a staff member clicking a bad link, not with a technical flaw. Remind staff never to share their password or a one-time code with anybody.
Where WebsNP fits
WebsNP helps buyers in Nepal arrange a Microsoft 365 subscription without an international card. We are not an official Microsoft reseller or partner, and Microsoft decides the features and limits. If your office needs more than apps, for example a leave and attendance system, look at HR management software. The ordering process is outlined on the Microsoft 365 Nepal page.
Day one, week one and month one
| When | Task |
|---|---|
| Day one | Secure admin accounts, turn on two-step verification, record recovery details |
| Week one | Add users, set up email, create the folder structure and share rules in writing |
| Week two | Move current files in stages, department by department, checking each move |
| Month one | Review access, fix problems staff report, run the first backup restore test |
Moving existing files safely
Do not move everything at once. Start with one department, confirm the files open and the sharing works, then continue. Keep the old location read-only for a few weeks as a fallback. Large uploads over a slow connection can take days, so schedule them overnight and check that sync finishes before you turn computers off. If your power or internet is unstable, keep the sync client running only on machines with a UPS or stable supply.
Rules worth writing down
- No passwords in chat or email.
- Client files only in the shared library, never on a desktop.
- Names of files follow the office pattern.
- Leavers hand over their files before their last day.
A one-page office technology policy takes an hour to write and prevents most arguments later.
Mistakes that make setups messy
- Letting each person create folders however they like.
- Using personal accounts for office files.
- Skipping documentation, so only one person knows how it works.
- Giving everyone admin rights to avoid requests.
- Never testing the backup.
Avoid these and the system will still be tidy in two years, when the original staff may have moved on.
Your next step
Write the user sheet and folder structure on paper this week. Once they are settled, message WebsNP on WhatsApp for current plans and terms.
