Physiotherapy Clinic Software ยท Guide
How to Choose Physiotherapy Clinic Software in Nepal
The right physiotherapy clinic software is the one that tracks a patient across many visits, not one visit at a time. If a product treats every appointment as a separate event, you will still be counting package sessions in a notebook. Use the points below to compare systems before you pay for anything.
Start with how your clinic earns
List how patients pay. Some pay per visit. Some buy a package of ten or twelve sessions. Some pay half now and half later. A few come on a referral from a doctor or coach and expect a discount. Your software has to handle your real mix, so write it down before you see any demo. A product that only supports a single bill per visit will cause friction within a month.
Features that matter more than they look
Many brochures list thirty features. Only a handful decide whether the front desk likes the tool.
- Session packages with a running count. Used, remaining and expiry date, visible on the patient screen.
- Calendar per therapist and room. It should stop double booking and show missed appointments clearly.
- Dated visit notes. Your therapist writes the content. The system should store it by date, show who wrote it and let you search by patient.
- Reminders. A prepared message for tomorrow's appointments that reception can send in one go.
- Part payments. A pending balance that follows the patient, not the bill.
- Roles. Reception should not see every note, and nobody except the owner should delete a bill.
Questions to ask the vendor
| Question | Why it matters |
|---|---|
| Can I see a package being sold, used and finished? | This is the core flow of a physio clinic and the first thing a generic clinic tool gets wrong. |
| Who owns the data and can I export it? | You should be able to take your patient list and billing history out in Excel at any time. |
| How are reminders sent and what are the limits? | WhatsApp and SMS depend on third-party senders. A vendor should explain the set-up honestly. |
| What happens when the internet is down? | Ask for the fallback routine, not a promise that it never fails. |
| Who supports us after go-live and how do we reach them? | A WhatsApp number answered by a person beats a ticket form. |
Red flags
Be careful with any product that promises clinical features such as treatment suggestions or outcome predictions. A records and billing tool should not make claims about health. Be equally careful with a vendor that quotes a price before asking how many therapists and branches you have, or that cannot show Bikram Sambat dates and NPR bills without extra work.
Test with your own data
Ask for a demo using your services and your package types, not a ready-made sample. Book three imaginary patients: one with a package, one paying per visit and one who pays in two parts. If the vendor can walk through all three without switching screens many times, the product fits.
What WebsNP does
We set up the physiotherapy clinic software around your packages, therapists and bill layout, import your existing patient sheet and train your staff. Prices are shared as a written quote after the demo because they depend on users and branches. If you run a general practice as well, compare it with our clinic management software.
Think about who will use it every day
The software is used by reception far more than by the owner. Ask the person who sits at the desk to watch the demo and try booking a patient themselves. If they need more than a few minutes to learn the booking and billing screens, daily use will be slow and mistakes will follow. Therapists, in turn, should be able to open a patient, read earlier notes and add a new one without hunting through menus. A product that looks impressive to the owner but frustrates the two people who use it all day will be abandoned within a season.
Check the reports you will actually read
Owners often ask for dashboards and then read two numbers. Decide those numbers now. For most clinics they are the day's collection, pending balances, packages ending soon and sessions delivered per therapist. Ask to see each of them in the demo with real-looking data. If a report you need is missing, ask whether it can be added and how long that takes, rather than assuming it will arrive later.
Plan the move from your old records
Moving from a register or Excel sheet is where many projects stall. Ask how patient names and phone numbers will be imported, who types the paper records and how long the clinic should expect to run both systems side by side. A sensible plan is to import active patients first and let older files stay on paper until they are needed again.
Next step: write your package types and therapist names on one page and send it to us on WhatsApp. That is enough for a demo that looks like your clinic.
