How to Track Physiotherapy Session Packages and Reminders
A session package is a promise: the clinic delivers a set number of visits and the patient pays for them. Keeping that promise honest on both sides needs one record that both reception and the therapist trust. This guide sets out a routine that works on paper and becomes much easier in software.
Step 1: define the package properly
Before you sell the first package, decide the rules and write them down.
- Number of sessions, for example six, ten or twelve.
- Package rate, and whether a discount versus the per-visit rate is given.
- Validity, such as three months from the first visit, after which unused sessions lapse or need approval to extend.
- Whether a missed visit with advance notice can be rescheduled, and how many times.
- Whether the package can be shared or transferred. Most clinics say no.
In the software these become fields on the package, so the rules appear on the screen when the desk sells it and nobody relies on memory.
Step 2: record payment at the time of sale
If the patient pays in full, post one payment. If they pay in parts, post each part with the date. The package is active from the first payment, but the pending balance stays visible so reception can mention it politely at the next visit. Keep a printed or WhatsApp copy of the bill so the patient also has proof.
Step 3: mark attendance on the day
When the patient arrives, reception marks the appointment as attended. That single click should reduce the package count and tell the therapist which session number this is. At the end of the visit the therapist adds their note. Do not mark attendance at the end of the week from memory, because that is where counts drift.
Step 4: handle missed and late visits
| Situation | Suggested record |
|---|---|
| Patient calls the day before to reschedule | Move the appointment. No session is used. |
| Patient does not come and gives no notice | Mark as missed. Your clinic rule decides whether it uses a session. |
| Therapist is unavailable | Reschedule at no cost to the patient and note the reason. |
| Patient arrives much later than booked | Mark as attended if the visit happens, with a note on the shortened time. |
Whatever your rule is, apply it the same way each time. Patients accept a clear rule far more easily than a changing one.
Step 5: send reminders that get answered
A good reminder is short and says who, when and what to reply. For example: the patient's name, tomorrow's date in BS and AD, the time, the therapist and a request to reply YES to confirm or call to change. Send it the evening before. A second message two hours before is useful for patients with a record of arriving late. Delivery goes through whichever WhatsApp or SMS sender you set up, and your software should keep a log of what was sent.
Step 6: review weekly
Once a week, open three lists: packages expiring in the next fortnight, patients with a pending balance and patients who have not returned after a missed visit. Reception can call or message each of them. This takes twenty minutes and protects both income and the patient relationship. Remember that any follow-up you send is about scheduling and billing, not medical advice.
Where the software helps
With the physiotherapy clinic software from WebsNP, sessions used and remaining sit on the patient screen, expiring packages appear on a list and reminders are prepared from your own templates. If you also take bookings online, our appointment booking software can sit in front of the calendar.
Next step: take your five most recent package patients and count their used sessions from your register. If any two people give different answers, the routine above is worth setting up this week.
