Physiotherapy Clinic Software for Sessions, Packages and Billing
Keep patient records, session packages, therapist schedules and bills in one place, and remind patients of tomorrow's appointment on WhatsApp.
A physiotherapy clinic is different from a general clinic because the patient comes back again and again. One person may book ten or twelve visits, pay for a package up front, miss two sessions and ask three weeks later how many are left. Physiotherapy clinic software keeps that running count so the front desk does not have to guess.
WebsNP sets up the system around your clinic: therapist-wise timetables, session packages, visit notes written by your own staff, part payments and bills in NPR with Bikram Sambat dates. The software is a tool for records, scheduling and billing. It does not make clinical decisions, and what goes in a note is always your therapist's call.
Owners get one screen for today's appointments, pending package balances and the week's collection. If you run a wider practice, see clinic management software, or message us on WhatsApp for a physiotherapy demo.
Who Physiotherapy Clinic Software is for
Independent physiotherapists
You work alone or with one assistant and want bookings, notes and bills without a pile of notebooks.
Multi-therapist clinics
You need each therapist's timetable, room use and income separated clearly.
Sports and rehabilitation centres
You run longer courses of visits and need package balances and attendance history at a glance.
Home-visit practitioners
You travel to patients and need a visit list, address notes and a record of what was collected.
Clinics inside hospitals or wellness centres
You share premises and need your own billing and appointment records kept separate.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Patients forget the next appointment and the slot goes empty | A reminder message is prepared the day before, with the date, time and therapist name, ready to send on WhatsApp or SMS. |
| Nobody can say how many package sessions a patient has used | Every attended visit reduces the package count, so used and remaining sessions are visible on the patient screen. |
| Visit notes sit in paper files that are hard to find | Notes are stored by date against the patient, searchable by name or phone number and visible only to permitted staff. |
| Two patients get booked with the same therapist at the same time | The calendar blocks overlapping slots per therapist and per room. |
| Part payments and pending dues are lost between visits | Each payment is posted to the patient, so the pending balance is one search away. |
| The owner cannot tell which therapist or service brings in the income | Reports split collection by therapist, service and month. |

Built for how Nepal works
Bikram Sambat and AD dates
Appointments and bills can show BS next to AD so staff and patients read the same date, and monthly reports follow the Nepali calendar.
NPR and VAT-ready bills
Amounts are in NPR. Where the clinic is VAT registered the bill can be set up with 13% VAT. Confirm whether your services are taxable with the IRD or your accountant.
WhatsApp and phone-first patients
Most patients here reply on WhatsApp or by call, so reminders are written short and in Nepali or English as you prefer.
Referral-based practice
Many patients come on a doctor or sports coach's referral. The record keeps the referrer's name so you can thank and follow up with them.
Patchy power and internet
We discuss backup power and a fallback routine for the desk during the demo so the day does not stop if the connection drops.

Can the software track how many sessions a patient has left?
Yes. You create a package with a fixed number of sessions. Each attended visit reduces the count, and the patient screen shows used and remaining sessions along with any expiry date you set for the package.
Does the software give treatment advice or suggest exercises?
No. It is a records, scheduling and billing tool. Your therapist writes whatever they choose in the notes. WebsNP does not provide clinical content or make any health claims through the software.
Can patients get appointment reminders on WhatsApp?
The system prepares reminders from templates you edit. Delivery depends on the WhatsApp or SMS sender you set up with us, and we explain the options and any provider limits during the demo.
Can I keep patient files private?
Access is role based, so reception can see appointments and payments while notes are limited to therapists and the owner. An activity log shows who opened or changed a record. You remain responsible for how your clinic handles patient information.
Can I move my current patient list in?
Yes. We import names, phone numbers and basic details from Excel. Paper files can be typed in as part of set-up, and the effort depends on how many patients you have.
Does it work for home-visit physiotherapy?
It can be configured with a visit list, address and contact notes and a collection record per visit. Tell us how your visits are organised and we set it up to match.
Can I run more than one branch?
Yes. Branches can share one patient database if you wish, with separate calendars, bills and collection reports for each location, so a patient seen at either branch has a single history.
How is the price decided?
The price depends on the number of users, branches and optional modules, and is shared after a demo as a written quote. We do not publish a fixed price because every clinic is set up differently.
