Physiotherapy Clinic Software ยท Guide
Physiotherapy Software vs Register or Excel: Cost Compared
For a small physiotherapy clinic the honest question is not whether software is modern. It is whether it saves more than it costs. A register is free to start and Excel is already installed, so the case for software has to rest on money you are losing now. This article shows where to look, without inventing figures for your clinic.
What a register does well
A paper register is fast to open, needs no power and anyone can read it. For a therapist who sees six patients a day and sells no packages, it can be enough. The trouble starts when patients return repeatedly, pay in parts and two people share the desk.
Where Excel starts to break
A spreadsheet can hold names, dates and amounts, but it has no idea what a package is. Someone must type the count by hand, copy a formula down and avoid overwriting a cell. Two people editing at once create conflicting copies. Reminders mean filtering by date and copying numbers into WhatsApp. None of this is impossible, but all of it takes staff time every day.
The comparison
| Need | Register | Excel | Clinic software |
|---|---|---|---|
| Package sessions used and left | Counted by hand | Manual formula | Updated on each attended visit |
| Double booking prevention | None | None | Calendar blocks overlaps |
| Pending dues list | Flip through pages | Filter and check | One report |
| Reminders | Phone calls | Copy numbers | Prepared from a template |
| Staff permissions | None | Weak | Role-based with a log |
| Therapist-wise income | End of month sums | Pivot table | Built-in report |
The hidden costs to measure
Take a normal month and answer five questions with real numbers from your clinic.
- How many appointments were missed without any reminder going out?
- How many package sessions were delivered beyond what was paid for, or lapsed unnoticed?
- How much was pending at month end and how long did it take to collect?
- How many hours did reception spend on counting, calling and copying?
- How long did it take to prepare figures for your accountant?
An example only: if a clinic finds that a few empty slots a week could have been filled with a reminder, multiply that by the usual fee. Your numbers will differ, which is why we do not print any here.
What drives the cost of software
The quote depends on the number of users, branches, optional modules such as stock or WhatsApp reminders, data import effort and training. Some clinics also pay for a messaging provider or hosting separately. Always ask whether the quote is one time or recurring, what is included in support and what an extra branch costs. Prices are shared by WebsNP after a demo and written quote.
When software is not worth it yet
If you are a single therapist with a handful of regular patients and no packages, a tidy register or a simple sheet may serve for now. Move when a second therapist joins, when you start selling packages or when you catch yourself forgetting dues.
How to decide
Run the five questions above for one month, then look at the physiotherapy clinic software demo with your own package types. If the saved slots and recovered dues look larger than the quote, move ahead. Clinics that also sell supplies can look at POS billing software for the counter side.
A worked example with clearly made-up numbers
Suppose a clinic sees about twenty patients a day across two therapists. Reception spends part of every day counting package sessions, phoning patients and chasing balances. Even if each task looks small, the hours add up across a month, and a few missed reminders or forgotten balances matter more than the time. This is only an illustration. Your own clinic may have fewer patients, more packages or a different mix, and the numbers that count are the ones from your register.
Questions about the software quote
When you compare quotes, ask the same questions of every vendor so the offers can be set side by side.
- Is the price one time, yearly or monthly, and what happens if you stop paying?
- Does it include data import, training and the first weeks of support?
- Are WhatsApp or SMS sending costs included or paid to a separate provider?
- What does adding a therapist, a room or a branch cost?
- Can you export all your data whenever you wish?
Write the answers in a simple table and compare them against the savings you measured. A quote that looks cheaper but excludes training or import can end up costing more.
Next step: count last month's missed appointments and pending balances, then send them to us on WhatsApp. We will show how a clinic with the same pattern would run in the software.
