Rental and Room Rent Software ยท Guide
How to Choose Room Rent Software for Landlords in Nepal
The right room rent software for a Nepali landlord is the one that handles your meters, your months and your tenants without forcing you to change how you collect rent. Many apps are built for other countries and assume a single flat rent per month. Your reality includes sub-meter electricity, water charges, advance deposits and tenants who pay in the middle of the month. This guide shows what to check before you choose.
Start by listing what you collect each month
Write down every charge a tenant pays. Rent is obvious. Add electricity, water, waste collection, internet, parking, lift or generator charges and any maintenance fee. If your list has more than two items, calculation support matters. Count your rooms and tenants, because a system suited to ten rooms may feel clumsy at fifty.
Features that matter for Nepali landlords
- Meter reading entry. Previous and current reading, units, rate and fixed charge, ideally on a single row per tenant.
- Bikram Sambat months. Billing for Shrawan or Magh should feel natural, not converted from Gregorian dates.
- Advance and deposit tracking. With deductions at exit.
- Dues list with age. One month late is different from four.
- Numbered receipts. That can be shared on WhatsApp.
- Agreement dates. For renewal and rent revision reminders.
- Multiple buildings. Without mixing up their money.
Test the electricity logic
This is where most generic tools fail. Ask the vendor to demonstrate a month with these cases: a tenant whose reading is lower than last month because the meter was replaced, a room that was vacant half the month and a shared meter split between two rooms. Software that cannot handle these will cost you manual corrections every month. Also ask whether you can set a per-unit rate that differs from the NEA rate, as many landlords do, and whether a minimum charge can be added.
Check the exit process
Tenants leave, and money is most often disputed at that moment. The system should let you close an agreement, deduct unpaid dues and damage from the advance and print a final settlement statement. If the exit process is awkward, you will end up doing it on paper, and the software will have failed at the point where it matters most.
Questions to ask the vendor
| Question | Why it matters |
|---|---|
| Can I export all data to Excel? | You must be able to leave without losing records. |
| How are backups handled? | Years of rent history should not depend on one phone. |
| Can my manager or family member have limited access? | Not everyone should see everything. |
| Does it work well on a phone? | Meter readings are taken in the corridor, not at a desk. |
| What does customisation cost? | Your charges are unlikely to match a template. |
Do not overpay for features you will not use
A landlord with eight rooms does not need accounting ledgers, work-order scheduling and an owner portal. A landlord with a hundred units might. Match the system to your size and ask whether more modules can be added later. A tool that grows with you is better than one that is complicated on day one.
Try it with real data
Insist on a demo using your own rooms and one month of real readings. Watch whether the totals match what you calculated by hand. Ask a family member or caretaker who will actually use it to try entering a reading, and see whether they manage without help. If they do, the system will survive.
Next step
Make a one-page list of your buildings, rooms, charges and meter types, then request a demo. See our rental property software or message WebsNP on WhatsApp at +977 9846280400 with your list. If you manage rentals as a company, our accounting software can be linked to your records.
