Monthly Rent Collection Checklist for Nepali Landlords
Collecting rent on time is a routine, not a heroic effort. Landlords who treat it as a fixed monthly process spend less time and lose fewer payments. This checklist is for owners of rooms, flats and shutters in Nepal, and it can be followed in a notebook or in software. Adapt the dates to the day your agreements fix for payment.
Before the month ends
- Reminder to caretaker or yourself. Set the day for readings and stick to it.
- Check agreements ending soon. Start renewal talks early and record any agreed rent change.
- Confirm electricity rate and other charges. They should match the agreement.
- Check vacant rooms. Decide whether to advertise, repaint or repair before the next tenant.
Reading day
- Read every sub-meter on the same day. Photograph each one.
- Record readings immediately. Not from memory later.
- Note anything unusual. A very high or negative difference needs checking at once.
- Read water and any other metered services. If you charge for them.
Billing day
- Calculate units and amounts. Add rent and other charges and include any balance carried over.
- Prepare a bill per tenant. With readings, units, rate and total shown.
- Send bills the same day. A WhatsApp PDF or a printed copy under the door.
Collection period
- Record each payment on the day. Date, amount, mode and the month it covers.
- Issue a receipt. Numbered, no gaps.
- Match bank and wallet transfers. Check the reference and the amount.
- Update the dues list. At a fixed time each week.
Follow-up
- Friendly reminder a day or two before the due date. A short, polite message.
- Call after the date passes. Ask, do not accuse.
- Agree a new date in writing. A WhatsApp message is enough.
- Escalate gradually. Follow the notice terms in your agreement and take legal advice before any drastic step.
A short generic walkthrough
Take a landlord with a four-storey building and twelve tenants. On the last day of the Nepali month, the caretaker reads the sub-meters and takes a photo of each, sending them to the owner on WhatsApp. That evening the owner enters the readings. The sheet or system works out units and amounts and produces bills. By morning, each tenant has a bill with rent, electricity, water and waste charges. Over the next week payments arrive: two by bank transfer, five in cash, one by wallet. Each is entered with a receipt. By the eighth day, three tenants have not paid. Messages go out, two pay the same day and one explains that salary is delayed, promising payment on the tenth. The owner writes the promise in the record and checks on the tenth. Nothing dramatic, just routine.
Common mistakes
| Mistake | Result |
|---|---|
| Reading meters on different days | Unfair billing and disputes |
| Accepting payment without a receipt | No proof either way |
| Letting two months pass before raising dues | Harder to collect, awkward conversations |
| Not recording rent increases | Confusion at renewal |
| Mixing advance with income | Cash trouble when refunds fall due |
Seasonal points
Around Dashain and Tihar some tenants travel and may pay early or late. Ask them in advance. In winter, heater use raises electricity bills, so a gentle note before the high-use months prevents shock. During the monsoon, record leaks and damp complaints promptly because they affect the relationship and the room's condition at exit.
Make it effortless
If the checklist feels long, that is the signal to automate. In rental property software, entering readings generates the bills, receipts are numbered, and the dues list is built for you. For reminders in bulk, see bulk SMS and WhatsApp software. Message WebsNP at +977 9846280400 for a demo.
