Rent Management: Diary and Excel vs Rental Software
Most Nepali landlords manage rent with a diary, a phone calculator and a good memory. It works until the building grows, a family member takes over or a tenant claims to have paid. This article compares diary, Excel and rental software honestly, so you can decide whether and when to move. It does not quote prices because they depend on your size and needs.
The diary: strengths and limits
A diary is free, quick and needs no electricity. For a landlord with a handful of rooms and stable tenants it can be perfectly adequate. The limits appear when you need to answer questions fast. How many months does room 4 owe? What was the electricity reading two months ago? When does the agreement for the shop end? Finding the answer means turning pages, and a lost or damp diary takes your whole history with it.
Excel: a real step up with a catch
An Excel sheet with one row per tenant per month can calculate units and totals automatically and can be sorted by dues. Many landlords with ten to twenty rooms use it well. The catch is that formulas break when someone inserts a row, versions multiply when a family member edits a copy and there is no easy way to print numbered receipts or send reminders. Excel also stores history awkwardly: last year's rent rate is overwritten by this year's.
What rental software adds
- Meter readings produce bills without manual arithmetic.
- A single dues list that is always current.
- Numbered receipts printed or shared on WhatsApp.
- Advance and deposit handled with a settlement at exit.
- Agreement end date reminders.
- History retained for every change of rate or tenant.
- Access for a manager or family member without giving them everything.
- Reports for your accountant at year end.
Cost drivers
When you ask for a quote, the factors that move it are the number of buildings and rooms, the number of users, how many custom charges and rules you need, whether data must be imported from your sheets, and the level of support and hosting. Ask for setup and ongoing charges separately and ask what happens to your data if you stop. Compare the quote not with zero but with the real cost of your current method.
The hidden cost of the free methods
Three kinds of cost hide inside a diary or sheet. The first is time: a monthly round of readings, calculations and receipts can eat most of a weekend in a thirty-room property. The second is leakage: a missed month's electricity, an unnoticed unpaid balance or a forgotten rent increase quietly reduces income. The third is dispute risk: when a tenant disagrees, you have only your word. If you estimate each of these, even roughly, the comparison is more balanced.
| Need | Diary | Excel | Rental software |
|---|---|---|---|
| Up to 8 rooms | Adequate | Comfortable | Optional |
| 10 to 25 rooms | Strained | Workable with care | Helpful |
| 25 or more rooms | Unreliable | Fragile | Recommended |
| Multiple buildings | Poor | Fair | Designed for it |
| Numbered receipts | Handwritten | Awkward | Automatic |
These size bands are only rough guidance, not rules.
When a landlord should not buy software
If you have a few stable tenants, are comfortable with your sheet and nobody else needs to see the numbers, keep what works. Spend the effort on written agreements and photographed meter readings instead. You can revisit software if you add a building.
Moving without losing history
Tidy your sheet first: one row per tenant, consistent room names, clear start dates and opening balances. Import that data into the software, run both in parallel for a month, then retire the old method. Keep the diary as an archive. The effort is modest and the result is a clean start.
