CA Firm Software vs Excel: Cost, Time and Return

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

Excel is the favourite tool of accountants, so it is no surprise that most small CA firms track their clients in spreadsheets. It is flexible and familiar, and for a few clients it is perfectly adequate. This article looks at when a spreadsheet stops being enough and what the real cost of staying with it is. We avoid invented prices and general promises; the point is to help you calculate with your own numbers.

Where Excel works

For a sole practitioner with twenty clients and no staff, a sheet with client names, due dates and fees can be efficient. You know the work personally, and the sheet is a reminder. Spreadsheets also let you design columns exactly as you wish. If you are in this position, keep it simple.

Where it breaks

Trouble begins when other people join. A spreadsheet has no notion of ownership, reminders or review. Two staff open different copies. The tracker is updated on Monday and wrong by Wednesday. The partner cannot see workload without asking. Dates are only as visible as someone remembers to make them.

Unbilled work is the hidden cost

The most expensive problem in many small firms is not a missed date but work that was done and never invoiced. A return was filed in a hurry, the junior moved on to the next client and nobody raised the bill. Over a year, such omissions can add up to a substantial amount. A list of completed engagements without an invoice makes the leak visible. Check your last twelve months: how many completed pieces of work have no invoice or an invoice below the agreed fee? That is your first number.

The cost of staff time

Ask your team how much time they spend each week asking who has which file, chasing documents with no record of the last request or rebuilding a status sheet for the partner. Multiply that by the cost of their time. Even a few hours per person per week is significant over a year. Software does not remove the work, but it removes the searching and repeating.

The cost of a missed date

Consequences differ by obligation and client, and we cannot give a general figure. But a missed date can mean penalties for a client, unhappy conversations and damage to your reputation. Even one such event can exceed what a system would have cost in a year. The comparison is a steady small cost against a rare large one.

What drives the cost of CA firm software

We do not publish one price because firms differ. The drivers are:

  1. Number of users, including partners, seniors, article students and accounts staff.
  2. Modules: client tracking and tasks as the base, with time records, billing and working papers as additions.
  3. Hosting: local, private cloud or shared cloud.
  4. Customisation: engagement templates, checklists, invoice layouts and reports.
  5. Data import: loading clients, engagements and open balances.
  6. Training and support: especially before and during busy filing periods.

A short demo lets us size these and give a quote based on what your firm will really use.

Calculating your own return

Take three numbers from your own firm. First, estimate the annual value of work that goes unbilled or underbilled. Second, estimate the staff hours lost to searching and chasing, priced at their cost. Third, add a cautious allowance for the cost of one avoidable incident. Compare the total with the annual cost of a system. If the total is clearly larger, the case is strong. If it is small, be honest and wait. We would rather you wait than buy something you will not use.

A gentle migration

You do not need to abandon Excel overnight. Import your client list and current engagements, run the next monthly cycle in the system and keep the sheet as a backup. After one cycle, compare. Most firms either feel the benefit within a month or discover what to adjust.
