CA and Audit Firm Software ยท Guide
How to Choose CA Firm Practice Management Software
The right practice management software for a CA firm answers a partner's morning questions without asking anyone: which dates are coming up, who is late, which clients have not sent papers and which work has not been billed. If a system cannot answer those, it is a filing cabinet, not a management tool. This guide helps Nepali firms choose well.
Practice management is not accounting software
Many people confuse the two. Accounting software records a client's business transactions and produces books and statements. Practice management software tracks your own firm: clients, engagements, staff tasks, dates, documents and fees. Some firms need only one, others both. If you also keep client books, look at accounting software separately, then ask how the two will work side by side.
Map your engagements first
List the services you offer and how often each repeats. Monthly VAT work, annual income tax work, statutory audit, company renewals, bookkeeping and advisory projects all have different rhythms. A good system lets you create a template for each, with standard tasks, a checklist of documents and a default reviewer. Without templates you will retype the same list for every client.
The core features
- Client master. Names, PAN, registration numbers, contacts, fiscal year basis and engagement history.
- Compliance calendar. Dates entered per client and engagement, shown by client, staff member and week.
- Task management. Owner, due date, status and reviewer for each task.
- Document checklist. What you requested, what arrived and what is pending.
- Working paper storage. Files kept by client and year with controlled access.
- Billing. Fee agreements, invoices and receivables.
- Dashboard. Overdue work, upcoming dates, workload and unbilled fees.
A warning about due dates
Be wary of any vendor who claims their software knows all your filing dates. Rules, extensions and notices change, and only the official sources are authoritative. A sensible system lets you enter the dates you have verified and then reminds you. It should also make it easy to update a date when an extension is announced. Responsibility for the correct date stays with the firm.
Workload and review
Partners often discover problems only when a deadline is close. Look for a workload view that shows open tasks per person for the next few weeks, and a review step that lets a senior sign off before a deliverable goes out. Ask how audit queries and review comments are logged and closed, because those are where firms lose time.
Confidentiality and access
Client financial information is sensitive. Check separate logins, role based access, a log of who viewed or changed records, and backup arrangements. Ask where data is stored and how you can export it if you leave. Follow the confidentiality duties set by your professional body.
Mistakes to avoid
- Buying a generic project tool only. It will not understand fiscal years, engagements or fee billing.
- Not loading existing clients. A system with empty lists is useless on day one. Plan the import.
- Letting each person use it differently. Agree on how tasks are named and statuses are used.
- Forgetting the clients. If clients cannot easily send documents, your checklist stays pending. Think about how they will share papers.
- Ignoring support. Filing season is the worst time to wait for help.
Questions to ask the vendor
Ask for a demo using a sample client with three engagements. Ask how dates are entered and changed, how reminders are sent and to whom, how staff upload documents from a phone, how fees are tracked and how Nepali and English text and BS dates are handled. Ask how the price is built, since an honest quote reflects users, modules, hosting and customisation.
Run a pilot during a quiet month
Do not start in the busiest week. Choose a calmer period, load ten clients and run their work through the system. By the end you will know whether staff accept it and whether the partner dashboard answers the questions that matter.
