College Admission and Fee Office Checklist for Campuses

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

Admission season puts the most pressure on a campus office. Hundreds of enquiries arrive in a few weeks, documents are checked at speed, and fees are collected under queue pressure. The errors made in these weeks, such as a wrong spelling, a missed scholarship or an unrecorded payment, are the ones the campus pays for all year. Use this checklist to keep the desk steady.

Before admissions open

  • Confirm the programmes, seat numbers and eligibility rules from the current affiliating body notices
  • Publish a fee sheet for each programme with instalment dates in Nepali months
  • Print the document checklist and application form
  • Prepare the scholarship policy and who may approve it
  • Assign counters: enquiry, document check, fee, and final registration
  • Set up the system with programmes, batches and fee plans before the first student arrives
  • Test a receipt print and a backup

Doing this first means the queue moves quickly and the staff do not invent rules at the counter.

Enquiry and counselling

Record each enquiry: name, phone, programme of interest, previous result and source. Counsel honestly on eligibility and fees, and show the printed fee sheet. Follow up by phone or WhatsApp within a day or two, because many students decide between several campuses and respond to the one that answers first. Mark each enquiry as admitted, thinking, not interested or ineligible.

Document verification

Check the original documents against copies and note this on the form. Typical items include previous marksheet and certificate, character or transfer certificate, citizenship or birth certificate, photographs, and any quota or scholarship proof. Write the name exactly as on the previous certificate. Where the name differs between documents, resolve it before admission and note which version is correct, since a mismatch will come back at registration.

Fee plan and scholarship set up

  1. Choose the programme fee plan and the number of instalments
  2. Apply any scholarship with percentage, reason and approver recorded
  3. Record refundable deposits separately from income
  4. Add hostel, transport or library charges only if chosen
  5. Print or send the schedule so the student and guardian know each due date

Avoid verbal promises such as "we will adjust it later". If a concession is agreed, it goes into the system that day with a note.

Receipts and cash handling

Every payment gets a numbered receipt from the system, showing student, programme, heads paid, amount and balance. If a payment comes by bank deposit or a QR payment app, record the reference number. At the end of the day the cashier matches the system's collection report against cash in hand and bank or wallet credits, and a second person signs off. Report any difference the same day. Where VAT applies to a service, show it as the law requires and check the treatment with your accountant.

Registration and ID

Once documents and first payment are complete, assign the student to a batch and section, generate the campus ID number, print the ID card and share the class routine. Keep a separate list of students whose registration with the affiliating body is pending, and follow it up against the body's dates.

After admissions close

Run a completeness report: students with missing documents, missing phone numbers, unpaid first instalments and unconfirmed registration. Clear the list within a fixed period. Review which source of enquiries produced the most admissions, so next year's effort goes to the right places.

Communicate with guardians

Many students are young adults, but guardians often pay the fees and want to know what is happening. Take the guardian's phone number at admission and ask for consent to send fee and attendance messages. Send a short welcome message with the fee schedule and the contact number of the accounts desk. Later, send due date reminders a few days before each instalment, and a confirmation message when a payment is recorded. Clear messages reduce queue time at the counter and reduce arguments about what was told to whom.

Handle refunds and withdrawals fairly

Some students withdraw soon after admission. Decide your refund and withdrawal policy before the season, write it on the fee sheet and apply it the same way every time. Record the date of request, the reason, the amount retained and the amount returned, and issue a clear note to the student. Refundable deposits should be shown as a liability in your records, not as income, so the books remain honest. When the system holds these entries on the student account, the accounts team can answer any query with the record in front of them.

Next step

Turn this list into a one page sheet for each counter and run through it with your staff before the next intake.
