College and Campus Management Software ยท Guide
How to Choose College Management Software in Nepal
The best college management software for a Nepali campus is the one that matches how your campus is actually organised: programmes, batches, affiliations, fee plans and exam routines. Many systems are built for a single school-style timetable and then stretched to fit a college, which is when problems start. This guide helps you test a system properly before you sign.
Describe your campus structure first
Before you speak to any vendor, write a one page summary of your campus. List each programme you run (for example +2 science, BBS, BBA, BCA, CTEVT diploma courses), whether it runs by year or by semester, the number of batches active at a time, and the affiliating body for each. Add the shifts (morning, day), the sections and the approximate student counts.
This page is your test case. A good vendor will set up two or three of your programmes in front of you during the demo, with real subjects and real fee plans. If a vendor can only show you a generic demo school, you have not yet seen how it fits you.
Check programme and batch flexibility
Ask these questions:
- Can a programme be annual and another semester based in the same system?
- Can each programme have its own subjects, credit or mark patterns and pass rules?
- Can a student be moved between sections, or be promoted with a back subject?
- Can a new batch be created without a developer?
- Can you keep past batches without cluttering today's screens?
Affiliating bodies such as NEB, TU, PU and CTEVT have their own patterns, and these can change. The software should let you edit the structure through settings. Always confirm the current rules with the relevant body, and treat the vendor as the person who configures them, not the source of the rules.
Test the fee engine
Colleges often have complex fees: admission, registration, exam forms, lab and practical fees, library deposits, hostel and transport. Many students pay in instalments, and some receive scholarships. Bring a real case and see whether the vendor can show these items:
- A programme fee plan with instalments and due dates in Nepali months
- A scholarship with a percentage and a reason
- A refundable deposit recorded separately from income
- A fine for late payment, if you apply one
- A student statement a parent or student can be given
If your college charges VAT on some services, ask how it is shown on the receipt, and confirm the treatment with your accountant or the Inland Revenue Department.
Look at exams, results and records
Ask to see how internal assessment, attendance and final results connect. Many bodies expect minimum attendance or internal marks before a student can sit the external exam, and the office needs to know quickly who is short. Check that the system can produce exam routines, admit cards, mark ledgers and result summaries. Check that it can export student data in a tidy table, since you may need to submit lists for registration or exams. Ask what it can and cannot do, and do not assume it replaces official results from the affiliating body.
Support, training and data ownership
Admissions and exams are peak times, and a system that is slow to fix problems during those weeks is a poor choice. Ask who answers calls and WhatsApp, how quickly, and whether on-site training is included. Ask where your data is stored, how often it is backed up, and whether you can export everything if you change vendor. Ask what happens during load-shedding or an internet break at the campus office.
Vendor comparison sheet
| What to check | Why it matters |
|---|---|
| Live setup of your programme | Shows real fit, not a brochure |
| Fee plan with instalments | Fees are the most disputed area |
| Nepali dates native | Avoids conversion errors |
| Editable result rules | Rules change over time |
| Data export | You must not be locked in |
| Training and support terms | Admission and exam weeks are critical |
Ask about users and security
A campus has many kinds of users with different needs: the campus chief, accounts, admission desk, exam section, teachers and sometimes students and guardians. Ask how roles are set up and whether a teacher can see only their own subjects. Ask whether the system keeps a log of who changed a fee, a mark or a student detail. Student records are sensitive, so find out how passwords are handled, how backups are stored and who at the vendor can access your data. A vendor who answers these questions plainly is usually one who has thought about them.
Think about the next three years
Campuses grow, add programmes and change affiliations. Ask what happens when you open a new programme, a new shift or a second campus. Ask whether the vendor charges for each change or whether you can make most of them from settings. Ask how updates are delivered, and whether you will be told before a change affects your exam season. A system that suits you now but cannot grow will become an expensive switch later. Also ask for a sample of how long it takes to bring a new batch into the system, since you will do this every year.
Beware of common sales traps
- A demo that shows only a dashboard and no daily work screens
- Promises of features that are "coming soon" and not in writing
- A very low first price with large charges for every change
- No clear answer on who owns the data
- Claims that the software is approved or recognised by an affiliating body, which is not something software can simply have
Next step
Prepare your one page campus summary and one sample fee plan, then ask each vendor to work from them. You can see how WebsNP approaches this on our college management software page. Campuses that run a library can also look at library management software. Message us on WhatsApp with your programmes and student count to arrange a demo.
