TU, PU, NEB and CTEVT: Keeping Campus Records Clean
A Nepali campus often answers to more than one body at the same time: NEB for higher secondary, TU or PU for university programmes, CTEVT for technical courses. Each has its own forms, deadlines and data requirements. The campus office that survives these cycles calmly is the one with clean, central student records. This article explains how to organise those records so each request becomes a report, not a hunt. We are describing record keeping only. For the actual rules, deadlines and formats, always confirm with the relevant body.
Why affiliation work is really a data problem
When registration, exam forms or inspection lists are due, the office usually needs the same set of facts for every student: full name in English and Nepali, date of birth, parents' names, address, programme, level, section, previous qualification, photograph, contact number and fee status. If these facts are scattered across admission forms, spreadsheets and the memory of one clerk, every submission starts with a week of cleaning.
The cure is to capture each fact once, correctly, at admission, and to store it in one place from which every list can be produced.
What a clean student record contains
- Name exactly as on the previous certificate, in English and in Nepali
- Date of birth in Bikram Sambat and the equivalent English date
- Parents' or guardians' names and phone numbers
- Permanent and current address
- Previous school or college, board and result
- Programme, level, batch, section and shift
- Registration or symbol numbers issued by the affiliating body, once available
- Scanned documents and photograph
- Fee ledger, scholarship notes and issued documents
Treat the name and date of birth as the most sensitive fields. Errors here are expensive to correct after registration, so have the student confirm the printed details on a form and sign it.
Keep programmes separate but under one roof
A +2 science batch, a BBS batch and a CTEVT diploma batch have different subjects, calendars and requirements. In software, create each as its own programme with its own levels and subjects, while the student, fee and document records use the same structure. That way you can produce a list for one body without exposing or mixing the others, and still see the whole campus when management asks for totals.
Track the milestones for each batch
For each batch, keep a simple timeline of what must happen and by when: enrolment close, registration submission, internal assessment deadlines, exam form submission, exam dates and result tracking. The exact dates come from the body, usually through notices, so enter them as soon as they are published. A reminder board in the system shows the exam coordinator what is next, which helps when a notice arrives late and the window is short.
Prepare for inspection and monitoring visits
Affiliating and regulating bodies may ask for faculty lists, student numbers by programme, attendance records, fee records and facility details. If your software holds faculty profiles, routines, attendance and enrolment, the principal can print these quickly. The software does not make a campus compliant, and it carries no approval of its own, but it makes it much easier to show what you have.
Handle corrections safely
Corrections are inevitable: a name spelling, a changed subject, a transferred student. Use a controlled process. Record who requested the change, why, which document supports it and who approved it. Limit the right to edit key fields to one or two senior staff. Keep a change log so the history is visible. When the body issues a corrected record, update your own copy at once so that both match.
Certificates and letters from the same record
| Document | Taken from |
|---|---|
| Character certificate | Student profile and conduct notes |
| Transfer or leaving letter | Profile, batch history and dues status |
| Bonafide letter | Enrolment status and programme |
| Fee statement | Student fee ledger |
| Marksheet copy for campus use | Result record |
Official certificates and transcripts come from the awarding body. The campus letters above should still be consistent with the student record so that no document contradicts another.
Plan for digitising old files
Most campuses already have years of paper records. You do not need to scan everything on day one. Start with active students, then graduates from the last few years, and scan older files when a request arrives. Name each scan with the student ID and document type so it can be found quickly, and keep two copies, one on the main system and one on separate storage. Where a paper record is the only evidence, keep it safe even after scanning. Ask your staff to note which records are digital and which are paper only, so that nobody searches the wrong place.
Decide who owns each part of the record
Clean records depend on responsibility. The admission desk owns identity and documents, accounts owns fee entries, teachers own attendance and internal marks, and the exam section owns results. Write this on one page. When a mistake appears, you can see where the process failed rather than blame everyone. Review the data once a term, look for blank fields, duplicates and mismatched spellings, and correct them while the student is still on campus and easy to ask.
Next step
Pick one programme and audit twenty student files against the list above. Count how many are missing a field or have a spelling mismatch. That number tells you how much cleaning a central system would save. WebsNP configures this record structure in our college management software, and for schools that also keep a student library there is library management software.
