College Software vs Excel: A Fair Cost Comparison

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

Excel is where most Nepali colleges start, and for a small campus it can work well. The question is not whether spreadsheets are bad, but when their hidden costs outgrow their low price. This article lays out a fair comparison with no invented figures. You can fill in the numbers from your own campus in an hour.

What Excel does well

A spreadsheet is flexible, familiar and free if you already own the software. A careful accountant can build a respectable fee tracker, and a coordinator can keep a mark sheet. For a campus with one programme, one batch and one person doing the work, this can be enough. The weaknesses show up when more people, programmes and years are involved.

Where spreadsheets start to hurt

  • Many copies: each department keeps its own file, and names or fees differ between them
  • No permissions: anyone with the file can change a mark or delete a payment
  • Weak history: it is hard to see who changed a number and when
  • Manual totals: a formula dragged one row short can hide a wrong total for weeks
  • Key person risk: only one person understands the workbook
  • No reminders: nothing tells you that a batch is due for exam forms next week
  • Slow reporting: every management question needs someone to rebuild a view

None of these is dramatic alone. Together they eat staff hours and create the occasional costly mistake.

Count your own hidden costs

For one month, ask each department to log time spent on four things: re-entering the same student details, building dues or attendance lists, preparing exam lists and result sheets, and answering questions that required searching old files. Multiply the hours by the pay of the people involved. Add known losses, such as fees collected but not recorded, or fines never charged, if you have any evidence of them. This gives you a monthly figure without guessing.

What drives the price of campus software

DriverEffect on the quote
Number of studentsData volume and support effort
Number of programmes and affiliationsMore set up and result rule work

We give quotes only after a demo. Ask any vendor whether their price is one-time or recurring, what is included in support, and what you can take with you if you leave.

The cost of switching

A switch costs time. Staff must learn new screens, old data must be cleaned and loaded, and for a while the office runs two systems side by side. Treat this as a project with a date. Start at the beginning of a session or batch, not during admissions or exams. Pick a champion in the office who learns the system first and helps colleagues. A vendor who trains your staff and imports your data takes much of this load off you.

A middle path

You do not have to move everything at once. Some campuses start with admissions and fees, because that is where money leaks and disputes arise, then add attendance and exams in the next session. Others start with exams, where the pressure peaks. A phased plan lowers risk and spreads the cost. Make sure the first phase is built on the same student record the later phases will use, so you are not migrating again.

Questions to settle before deciding

  1. How many hours per month do we spend on repeated record work?
  2. Which mistakes in the last year cost us money or trust?
  3. Who will own the system inside the campus?
  4. Which module would we start with?
  5. What happens to our data if the vendor stops supporting us?

The risk of data loss

Spreadsheets live on individual computers, and individual computers fail, are stolen or are filled with viruses. Load-shedding and power surges add to the risk for machines without good protection. Ask yourself what would happen if the accountant's computer stopped working today: could you rebuild the fee ledger, and how long would it take? A proper system keeps backups on a schedule and lets you restore to a recent point. If you keep Excel, at least set up regular copies to a separate drive and a cloud account, and test restoring a file once.

Things software will not fix

Software cannot fix a fee policy that nobody agreed, teachers who refuse to enter marks, or a management that does not read the reports. Before buying, settle the rules: who approves concessions, when marks are due, what happens to late fees. Then the software enforces them. Without this the system becomes another place where confusion is recorded. Be honest about this when comparing costs, because the benefit of software depends on staff using it consistently, and training and leadership are part of the real cost.
