Custom Software Development ยท Guide
Custom Software or Ready-Made Software? How to Choose in Nepal
Buy ready-made software when it covers about eighty percent of your process and you can live with the rest. Commission custom software when your process is the heart of your business, when no package fits without painful workarounds or when you need a customer-facing system that does not exist yet. Many projects go wrong because this decision is made on instinct, so use the steps below to make it deliberately.
Start by describing the job, not the software
Write down in plain words what the system must do: who enters data, who approves, what reports you read every Monday and what must never go wrong. Do not mention features or screens yet. A clear job description lets you test any product or proposal against reality. If you cannot describe the job in one page, you are not ready for a build, and a discovery session will help.
When ready-made is the better choice
- Your business is a common type, such as a school, pharmacy, hotel, restaurant, clinic or shop. See our products for schools, hotels and retail billing.
- You need to start within weeks, not months.
- Your budget cannot support a bespoke project and its upkeep.
- The differences between you and a typical business are small and can be configured.
Ready-made systems carry the experience of many users, so common mistakes were fixed long ago. We say this plainly even though we also build custom software.
When custom is the better choice
- Your workflow is the competitive edge. Unusual pricing, approvals or production steps would be squeezed by a package.
- You are stitching together many tools. The hidden labour of copying data between them exceeds the cost of one proper system.
- You need a portal for outsiders. Dealers, members, patients or customers must log in and see only their own records.
- You are building a product. A new service needs software designed for it.
- Integration is central. The system must talk to particular devices, partners or services.
A comparison table
| Ready-made | Custom build | |
|---|---|---|
| Time to start | Days to weeks | Weeks to months, in phases |
| Fit to your process | Good for common cases | As close as you specify |
| Upfront cost | Lower | Higher, set by scope |
| Risk | Features you do not need | Poor scoping, missed needs |
| Change over time | Depends on vendor roadmap | You decide what changes |
The middle path: configure, then extend
Often the best answer is to begin with a ready-made product and add a small custom module where it does not fit, or to build a lean first version of a custom system and grow it. Ask a vendor whether they can do this. A company that only sells one answer is a sign to be careful.
Questions to put to any software company
- Can I see a similar system running?
- What exactly is included in the quote, and what is not?
- Who owns the code and the data?
- How are changes handled after sign-off?
- Who hosts it, who backs it up and who fixes it at night?
- What happens if we part ways?
A quick scoring exercise
Give each statement a score from zero to three, where zero means not true for you and three means very true. Add the scores.
- Our process is clearly different from other businesses of our kind.
- We have tried at least one package and it forced painful workarounds.
- We lose significant time copying data between files or tools.
- Outsiders such as customers or dealers need to log in to our system.
- We can describe our rules and exceptions in writing.
- We can name one person who will make decisions for the project.
A low total suggests ready-made software will serve you. A high total suggests a discovery conversation is worth having. The last two statements matter most: a custom project without clear rules and a decision maker is likely to drift whatever the budget.
Mistakes in the decision itself
The first mistake is choosing custom because it sounds more impressive or more exclusive. The second is choosing ready-made only because it is cheaper this month, then paying every month in staff time lost to workarounds. The third is asking a vendor to decide for you without sharing your real process. A good decision comes from your own honest description of the job and a vendor willing to say it is not a fit.
