Queue and Token Management System for Nepali Counters and Waiting Rooms
Replace crowded benches and shouted names with numbered tokens, counter calling, a waiting screen and simple reports on how long people really wait.
A queue is where your customer forms their first opinion of you. In a busy bank branch, clinic, municipality office or service centre, people stand in a line that nobody manages, argue about who came first and ask the counter staff the same question again and again. A token system turns that line into an ordered list that both staff and visitors can trust.
WebsNP builds queue and token management software around how your counters actually work. A visitor takes a token (from a staff member, a touch screen or a printed slip), the counter officer calls the next number, and a screen in the waiting area shows who is being served. Hardware such as display screens, token printers and speakers is separate and supplied on request.
Because every office has different services, priorities and counters, we configure the software for you instead of handing over a fixed template. Message us on WhatsApp on +977 9846280400 and we will show you a demo that matches your front desk. Related tools are appointment booking and bulk SMS and WhatsApp.
Who Queue and Token Management Software is for
Bank and finance branches
Separate lines for deposit, withdrawal, loan enquiry and account opening, with senior citizens and priority customers handled first.
Clinics and polyclinics
Patients take a token at reception and wait for their number instead of crowding outside the doctor's door.
Ward, municipality and government offices
Recommendation letters, registrations and certificate counters where citizens often wait half a day without knowing their turn.
Service centres and showrooms
Mobile, vehicle and appliance service desks where customers need a fair order and an estimate of the wait.
Cooperatives and utility counters
Savings collection days and bill payment counters that get a rush on fixed days of the month.
Education and training offices
Admission, fee and certificate counters during the busy weeks before a new session starts.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| People argue about who arrived first | Every visitor gets a numbered token in arrival order. The sequence is the record, so staff do not have to referee. |
| Visitors crowd the counter and block work | A waiting-area screen and a voice or visual call tell people when to come forward, so only one person stands at the counter. |
| Senior citizens and urgent cases get lost in the line | Priority categories can be configured so selected tokens are called ahead of normal ones, with the rule visible to everyone. |
| Nobody knows how long customers really wait | The system stores the time of issue, call and completion, so you get average waiting and service times per counter and per hour. |
| Staff are overloaded at one counter while another is idle | Tokens are shared across counters by service type, and the manager can see live queue length to move staff where needed. |
| Customers leave to run an errand and lose their place | Optional SMS or WhatsApp alerts can tell a visitor that their turn is near, if you have a messaging gateway connected. |
Features and modules
Token issue
Generate tokens by service type with a prefix such as A, B or C, from a staff screen or a self-service touch screen.
Counter console
Each officer sees the next token, calls it, recalls it, transfers it or marks it done with one click.
Waiting-room display
A screen shows the token being served and the counter number, with your logo and a notice area.
Voice call
Optional spoken announcement of the token and counter number, in a language and wording you choose.
Services and categories
Define services, which counters handle them and which categories get priority.
Token printing
Print a slip with the token number, service, date and time and the number of people ahead. Printer supplied separately.
SMS and WhatsApp alerts
Send a turn-near message to the visitor's phone number, subject to a gateway you connect.
Skip and recall
Handle no-shows by recalling a token a set number of times, then skipping it with a record.
Waiting-time reports
Daily and monthly figures for tokens issued, average wait, service time and busiest hours.
Staff roles
Counter officers, supervisors and admin see only what they need, with a log of who did what.
Bikram Sambat dates
Reports can show BS dates alongside AD so they match your office registers.
Built for how Nepal works
Nepali language and numerals
Screens and printed tokens can show Nepali service names and Devanagari numerals where your visitors prefer them.
Power cuts and weak internet
A queue system on your own local network keeps working when the wider internet is slow. Backup power for the display and token computer is a separate arrangement that we can discuss.
Festival and month-end rushes
Reports by hour and day of the month help you plan staffing before Dashain, Tihar, fee deadlines and salary days.
Phone-based follow-up
Most visitors carry a mobile phone, so a turn-near SMS or WhatsApp message fits local habits better than an app download.

Do we need special hardware?
The core software runs on ordinary computers. A waiting-room screen, token printer, touch kiosk or speaker are optional and separate. We supply them on request and advise what suits your room and budget.
Can it work without internet?
It can be set up on a local network inside your office so token issue and calling continue if the internet drops. SMS and WhatsApp alerts do need an internet connection.
Can we give priority to senior citizens or pregnant women?
Yes. You define priority categories and the rule for calling them, for example one priority token after every two normal ones, or priority first. Your management decides the policy.
Can visitors get an SMS when their turn is near?
The software is designed to trigger such messages when the visitor gives a mobile number and you have an SMS or WhatsApp gateway connected. Message costs come from your gateway provider.
Can one system handle several branches?
Yes, branches can be set up separately with a combined report for management. We discuss the exact structure during the demo.
How are tokens shown in Nepali?
Service names and display text can be configured in Nepali. Token numbers can use English or Devanagari digits depending on what your visitors read most easily.
Can we see how long customers wait?
Yes. Each token stores issue, call and completion times, so you can view average waiting and service time by counter, service and hour of the day.
What does it cost?
Cost depends on the number of counters, displays, branches and messaging needed. We give a clear quote after a demo and a short discussion on WhatsApp.
