How to Choose School Management Software in Nepal

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

The right school management software is the one your accountant, class teachers and principal will still be using happily in the third term, not the one with the longest feature list. Most Nepali schools that regret a purchase do so for ordinary reasons: the fee structure did not fit, the results format was wrong, or nobody answered the phone after the first month. This guide gives you a short list of things to check before you commit.

Start with the problem, not the features

Write down what hurts most today. For one school it is the fee dues list that never matches the ledger. For another it is the two weeks spent preparing terminal results. For a third it is parents who say they were never told about a fee increase or an exam date. Rank these three problems. A good vendor will ask you the same question, and a demo should answer your top problem first.

It also helps to count your real size: number of students, sections, branches, staff, and how many people will enter data. A school with one office computer needs a different set up from one with ten teachers entering marks at the same time.

Check how it handles Nepali dates

Ask the vendor to show you a fee month in Baisakh, an exam date in Poush and a holiday list in Bikram Sambat. Many systems built for other countries treat the Nepali calendar as an afterthought and convert dates in ways that confuse staff. You want the academic session, fee months and reports to run in Nepali dates natively, with English dates available where you need them for official papers.

Test your fee structure in the demo

Fees are where schools differ most. Bring a real example and ask the vendor to set it up live.

  • Different fee heads by class (tuition, computer, activity, exam)
  • Monthly fees versus term fees
  • Sibling discounts and staff-child concessions
  • Scholarship or partial-fee students
  • Bus and hostel charges added to the same student account
  • Late fines or reminders, if your school applies them
  • Advance payments and part payments

If the vendor says "we can add that later" for something you need on day one, ask for it in writing, with a date.

Look at results and report cards

Ask to see a marksheet and progress report in the format your school actually prints. Check how theory and practical marks combine, how absent students are shown, and how grades or GPA are derived. Grading rules for school levels are set by the relevant education authorities and can be revised, so confirm the current pattern with them and make sure the software lets you change the rule yourself rather than waiting for a new version. If results are your main concern, also look at dedicated exam and result software.

Parent communication

In Nepal, the phone is how you reach parents. Ask whether the system can send SMS for absence, dues and announcements, how the gateway is arranged and who pays the message credits. Ask whether you can send to one class, one section or one parent, and whether the message wording can be changed. Do not accept a vague "SMS is supported". Ask to see one sent.

Roles, data safety and offline reality

A school holds children's data, so access matters. Check that the accountant can see fees but not change marks, and that teachers see only their own classes. Ask where the data is stored, how often it is backed up and how you get your data out if you ever leave. Ask what happens during load-shedding or an internet outage in the office, and whether the vendor has a plan for it.

Support, training and the human side

The software is half the purchase. The other half is training your staff and getting answers when something goes wrong during result week. Ask who trains the staff, whether training is included, how you can reach support (phone, WhatsApp), and what the typical reply time is. Speak to the person who would actually support you, not only the salesperson.

Compare vendors fairly

QuestionWhat a good answer sounds like
Can I see my fee structure set up live?Yes, with my own example
Are Nepali dates native?Yes, shown on screen and reports
Can I change grading rules myself?Yes, from settings
Who owns the data? The school, with export available
What does the quote include?Modules, training, import and support listed

Involve the people who will use it

Invite the accountant, one senior teacher and the exam coordinator to the demo. They will spot practical problems the owner never notices, such as a mark entry screen that is too slow on a shared computer or a receipt that lacks the line your auditor asks for. Staff who helped choose the system also adopt it faster. Ask them to try three everyday tasks themselves during the demo: record a payment, mark attendance and enter marks for a subject. If they struggle, that tells you more than any brochure.

Next step

Pick your top three problems, collect a sample fee sheet and one marksheet, and ask each vendor to work from those. If you would like to see how WebsNP handles them, read about our school management software and message us on WhatsApp for a demo and quote based on your school.
