School Admission Checklist for Nepali Schools
A messy admission creates problems that last for years: a misspelled name on every certificate, a missing guardian phone number, a fee dispute nobody can trace. A simple checklist, followed for every student, prevents most of them. Use the steps below as a base and adjust them for your school and the level you admit at.
1. Record the enquiry
Most admissions start as a phone call, a visit or a WhatsApp message. Write each enquiry down with the child's name, intended class, guardian name, phone number, how they heard of you and the date. A simple enquiry list means you can follow up before the next session starts. Schools often lose students not because of a rejection, but because nobody called back.
2. Collect the right documents
Decide the document list for each class and print it. Depending on the class and your school's policy, it may include:
- Birth registration certificate or other proof of age
- Previous school's transfer or leaving certificate and last result, for higher classes
- Recent passport size photographs
- Guardian's citizenship copy or other identity, as your school requires
- Vaccination or medical notes if you collect them
- Any scholarship or concession proof, if applicable
Keep a tick list on the form so missing items are obvious. Scan the documents and attach them to the student record, so you are not searching a cupboard when a certificate is requested.
3. Check names and dates carefully
Copy the name exactly as it appears on the birth certificate, in English and Nepali, and enter the date of birth in Bikram Sambat along with the English date. Have the guardian read the printed details and sign. Mistakes here are the most expensive ones, because correcting a name after an exam registration or a transfer certificate involves much more work than correcting it at admission.
4. Decide class and section
If your school runs an entrance test or interview, record the result on the file. Place the student in a class and section based on your own rules, such as age, test result or available seats. Keep the seat count for each section up to date so the office knows when a class is full.
5. Set up the fee account
This is where many schools make mistakes. Before the student attends, create the fee account.
- Choose the fee heads that apply to the class
- Apply any sibling discount, staff-child concession or scholarship, with the reason and approver
- Add transport or hostel if chosen
- Record the admission payment and issue a numbered receipt
- Show the guardian the monthly schedule and due dates in Nepali months
Give the guardian a printed fee schedule so that there are no surprises in the first month. For a deeper guide, read our article on school fee collection with software.
6. Record guardian and contact details
Take at least two phone numbers, the WhatsApp number if different, the home address and an emergency contact. Note who is permitted to pick the child up if your school has such a rule. Ask which number should receive SMS about fees and absence. A wrong phone number is one of the most common reasons a parent says "nobody told me".
7. Issue the identity card and roll number
Allocate a unique student ID that never changes, plus a class roll number that may change each year. Print an ID card with a photo and the guardian's contact number. Share the class routine, holiday list and exam dates for the term.
8. Orientation and first week
Give the family a short orientation: school timing, uniform, books, communication channels and the person to contact for fee questions. Check attendance for the first week and call the guardian if the child is absent, because early follow-up prevents dropouts.
9. Review after the first month
At the end of the first month, check that the new student has attendance recorded, fees posted, documents complete and a working guardian phone number. A short review of each new admission catches gaps while the family is still easy to reach. Keep a list of students whose documents are still pending, with a promised date, and follow it up like any other due.
Where software removes repeated work
With school software, the enquiry, admission form, documents, fee account, ID card and class placement are one flow. You enter the child once, and the same record feeds attendance, exams, library and reports for years. Without it, the same name is rewritten in five registers and each copy can differ. WebsNP configures this in our school management software, and we can include a library link if you run a school library.
Next step
Print this checklist, adapt it for each class, and test it on the next five admissions. If you would like to see it as a working admission form with fee set up, message WebsNP on WhatsApp and ask for a demo.
