School Fee Collection System in Nepal: Setup Guide

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

School fee collection works best when every student has a single running account that shows what is due, what was paid and what remains. This guide walks through how a Nepali school can move from a paper ledger or spreadsheet to a fee system, in the order that causes the least confusion for your accountant and for parents.

Step 1: List your fee heads

Before touching any software, list every charge the school makes. Most schools have more than they remember. Typical heads include admission fee, annual charge, monthly tuition, computer or lab fee, exam fee, activity fee, transport, hostel, canteen, uniform and stationery. Write each with the classes it applies to and how often it is charged (once a year, every month, every term).

Put this on one page. This page becomes the setup sheet, and it is also a good moment to remove old charges that nobody can explain.

Step 2: Decide the billing calendar

Nepali schools usually bill by Bikram Sambat month, with the academic session often starting around Baisakh. Decide whether tuition is billed monthly, bimonthly or by term, and when the due date falls. Decide whether a month's fee is due in advance or at the end. Software can follow either rule, but it must be told one rule clearly. Mixed rules per class are fine, as long as they are written down.

Step 3: Handle concessions properly

Discounts are where most disputes start. Record each type separately so that you can later answer questions such as "how many students are on sibling discount".

  • Sibling discount: link brothers and sisters to the same guardian
  • Staff child concession: a fixed percentage or fixed amount
  • Scholarship: full or partial, with the reason noted
  • One-off waiver: signed off by the principal, with a note and a date

Decide who is allowed to grant each one. Good software lets only certain users apply discounts and records who did it.

Step 4: Bring in opening balances

Pick a clean starting date, such as the first day of a month or term. For each student, enter the balance due or advance paid on that date. Do this from the closed ledger, check the grand total against your accounts, and only then start using the system for new receipts. This single total check saves weeks of hunting later.

Step 5: Issue receipts the same day

Every payment gets a numbered receipt generated by the system, printed or sent digitally. The receipt should show the student, class, month or fee heads paid, any discount, the amount, the balance still due and who received it. If you charge VAT on a particular item, show it separately, and ask your accountant or the Inland Revenue Department which of your charges it applies to. Never write receipts by hand and enter them later; that is how totals drift apart.

Step 6: Chase dues without arguments

Run a dues list by class on a fixed day each month. Send reminders by SMS or WhatsApp with the amount and the due date, in a polite and consistent wording. Because the receipt history is on the student account, a parent who says "I already paid" can be answered in a minute: you can show the date and receipt number, or find the gap together.

It helps to agree your own rule in advance on late fines, part payments and what happens before exams if fees are pending. Software only applies a rule; it cannot make the rule fair, so decide it with your management first.

Step 7: Reconcile daily and monthly

At the end of each day, the cashier should match the system's collection report with the cash and bank or digital wallet receipts. If your school accepts bank deposits or QR payments, record the reference number against the receipt. At month end, compare total collection, discounts and dues with your accounts. Differences found on the same day are easy to fix. Differences found after a term are painful.

Plan for part payments and advances

Many Nepali families pay in instalments or pay several months at once before a festival or foreign trip. Make sure your setup lets the cashier choose which months or heads a payment clears, and that an advance is shown as a credit that is used automatically against future dues. Otherwise the accountant ends up adjusting balances by hand, which is exactly the habit you are trying to remove. Test one part payment and one advance payment before going live.

Common mistakes to avoid

  • Setting up fee heads class by class from memory instead of from a written sheet
  • Starting mid-month without a clear opening balance
  • Allowing every staff member to edit or delete receipts
  • Not linking siblings, so discounts are applied by hand
  • Forgetting to promote students and update fees at year end

Where software helps most

A fee system saves the accountant time, but its bigger benefit is trust. Parents see consistent receipts, the principal sees live collection, and nobody has to rebuild a total from notebooks. WebsNP sets this up as part of our school management software, and schools that also run a hostel can link hostel billing to the same student account.
