School Software vs Manual Registers: What It Really Costs
Many Nepali school owners hesitate over software because the paper register seems to cost nothing. But the register costs staff time every week, and the costs of errors and slow answers rarely appear in any account. This article gives you a fair way to compare the two, without invented numbers, using figures from your own school.
Where manual records quietly cost you
Take one month in your school and ask your staff to keep a rough note of the time spent on each repeated task. Most schools find the same pattern.
- The accountant rewrites fee entries in the receipt book, the cash book and the student ledger
- The office prepares a dues list by going through the ledger line by line
- Teachers copy attendance from class registers into a monthly summary
- The exam team copies marks, adds totals and checks them twice before printing report cards
- Someone phones parents one by one about dues or absence
Multiply the hours by the salary cost of the person doing them. The result is a real monthly cost, even if no bill arrives.
Costs that do not show up as time
Some losses are harder to see:
- Fees slipping through: small unpaid balances forgotten across months because no one has a clean dues list
- Disputes: parents arguing about receipts, with no quick way to settle it
- Result errors: a wrong total that reaches a parent damages trust far more than the time to fix it
- Key person risk: one clerk who understands the register and nobody else
- Management blindness: decisions made without knowing this month's collection or attendance
You do not need to put a figure on each. List the ones that have happened in your school in the last year.
What drives the price of school software
We do not publish a price list, because quotes depend on your school. The main drivers are:
| Driver | Why it affects the quote |
|---|---|
| Number of students and users | More data, more logins and more support needs |
| Modules selected | Fees only costs less than fees, exams, transport, hostel and library together |
| Branches | Each branch needs configuration and reporting |
| Data import | Cleaning and importing old records takes effort |
| Customisation | Special report card formats or special fee rules need extra work |
| Hosting choice | Online, local or hybrid set up changes the ongoing cost |
| SMS | Message credits and gateway charges are separate and depend on how many you send |
| Training and support | On-site training and long term support are part of the quote |
Ask every vendor to state whether the quote is a one-time cost, a yearly fee or a monthly subscription, and what happens to your data if you stop paying.
A simple way to compare
Create three columns on a sheet: current monthly staff time on repeated records, current known losses or disputes, and expected benefit from software. Be conservative in the third column. For example, if your accountant spends two days a month on dues lists and reconciliation and software reduces that to a few hours, that is a genuine saving. Do not count benefits you cannot explain, such as "better admissions", unless you have a plan for them.
Use the vendor's quote, add any extra costs such as SMS credits and a better office computer, and compare over two or three years, not one month. Software is a continuing cost, but so is the staff time it replaces.
Do not forget the risks of switching
Moving to software has its own cost: staff need to learn it, and the first term is slower. Plan for this. Start at the beginning of a term, keep the old register for reference, and avoid switching in the middle of exams. Choose a vendor who will train your staff and answer questions during busy weeks.
Count the cost of waiting
There is also a timing cost. The longer a school delays, the more years of records need to be typed in later, and the more habits staff must unlearn. If you are going to move eventually, starting at the beginning of a new academic session is cheaper than starting in the middle of one. Even then, you do not have to switch everything at once. Many schools begin with fees and student records, and add exams and SMS in the following term when staff are comfortable.
When paper is still fine
A very small school with a few dozen students and one person managing everything may do well with a well kept spreadsheet. Software starts to pay off when several people touch the same records, when parents expect quick answers, or when management wants reports without waiting. If you are unsure, ask for a demo and see whether the time saved matches your own count.
Next step
Run the one-month time note, list your last year's disputes and then request a quote. You can read what is included in our school management software, and if you also run a small student library, look at library management software. Message WebsNP on WhatsApp with your student count and the modules you are considering.
