Showroom Sales Follow-Up Checklist and Common Dealer Mistakes
Most vehicle sales are decided after the customer leaves the showroom. They compare prices, talk to family, check finance and look at another dealer. What the showroom does in the next few days often decides whether the sale returns. This checklist gives your team a clear routine for enquiry, follow-up, booking and delivery, with the common mistakes that cost dealers sales.
When the customer walks in
- Greet within a minute and ask for the customer's name.
- Ask what they use now, how they will use the new vehicle and their budget range.
- Show two or three suitable models, not the whole floor.
- Offer a test ride or drive and record it.
- Record name, phone, model of interest and the next follow-up date before they leave.
The last item is the most skipped and the most valuable. A lead without a follow-up date is only a name.
Follow-up rhythm
Call or message within a day, thank the customer for visiting and ask if they have questions. Share a short quotation or brochure on WhatsApp if they agree. Follow up again after a few days and once more before any known price change or scheme end. If a customer says they are not ready, ask when to contact them and record it. Respect a clear no; mark the lead closed with a reason.
| When | Action |
|---|---|
| Same day | Thank-you message and quotation if asked |
| Within 3 days | Call to answer questions |
| Within 10 days | Offer test drive again or finance help |
| Before festivals | Share delivery slot availability |
Handling price and exchange
Customers often ask for a discount and exchange value on the first visit. Prepare a clear policy: what the salesman can offer on his own, what needs manager approval. Record offers made on the lead so another salesman does not contradict them. For exchanges, inspect the old vehicle before quoting a figure and photograph it. A rough verbal value that later changes causes anger, and a recorded value avoids that.
Finance help
Customers who need finance appreciate help with the document list and the process. Keep a checklist per lender, and record which items the customer has submitted. Do not promise approval; only the lender decides. Staying in touch while the case is pending keeps the customer with you rather than with a competitor who offers faster handling.
Common mistakes
- No next date on the lead: follow-up depends on memory.
- Salesman keeps leads on his personal phone: the lead leaves with him.
- Promising delivery dates without checking stock: broken promises damage trust.
- Not recording lost reasons: you never learn whether price, colour or finance was the cause.
- Ignoring small accessories: helmets, covers and guards add margin and customer satisfaction when offered at booking.
- Weak handover: a rushed delivery wastes the goodwill built over weeks.
Weekly manager review
Each week, the manager should look at five numbers: new enquiries, follow-ups completed, test drives, bookings and deliveries. Look at leads without a next date and leads that have been quiet for more than two weeks. Ask each salesman to explain the three best chances for the coming week. Look at stock ageing and decide on one action for the oldest unit, such as a bundle with accessories, a focused call to older leads or a transfer to another branch.
Festival planning
Dashain and Tihar bring a surge of bookings and delivery requests, many on specific days. Check stock and papers a few weeks in advance. Confirm the delivery slots for each day so the team can prepare vehicles, documents and a polite handover for each family. After the festival, review which models sold fastest and which leads were lost, so next year's ordering improves.
Next step
Print the enquiry checklist and use it for a week at the front desk. Count how many leads end the week with a follow-up date.
