Vehicle Showroom Software in Nepal: A Dealer Buying Guide
Showroom software earns its keep when it follows two things from first enquiry to final delivery: the customer and the specific vehicle. If it can tell you in seconds which unit is booked for whom, how much advance is held and which delivery papers are still pending, it is doing its job. If it only prints invoices, you are paying for a billing tool. Use this guide to judge what a bike, scooter or car dealer in Nepal really needs.
Decide what you are fixing
Dealers usually suffer from one of four problems. Stock is unclear, so salesmen promise vehicles that are already booked. Enquiries are lost when a salesman leaves or forgets. Delivery files are incomplete, causing delays and complaints. Or the owner has no picture of which models earn money and which sit idle. Pick your biggest problem and judge each product by how well it solves that one first.
Vehicle stock must be unit-level
A showroom does not sell a model; it sells a particular unit with a chassis number, an engine number and a colour. Check that the software records each unit separately, shows where it is, and changes status as it moves from available to booked, invoiced, registered and delivered. Ask how it handles vehicles in transit from the company, vehicles at the workshop for pre-delivery inspection and vehicles on display.
- Chassis and engine number per unit
- Model, variant and colour
- Purchase date and cost, for margin and ageing
- Location: showroom, godown, workshop, in transit
- Status linked to booking and invoice
Leads and follow-up
Most sales in a showroom come from follow-up, not from walk-ins who buy immediately. Check that each enquiry captures the customer, phone, model of interest, budget range, source (walk-in, call, referral, social media) and the next follow-up date. The salesman should see a daily list of calls to make, and the manager should see leads that have gone cold. Ask whether leads can be reassigned when a salesman leaves.
Bookings, advances and exchange
Booking is where disputes start. Test a booking with an advance, a change of colour, a delayed delivery and a cancellation. See whether the receipt, the allocated unit and the refund or adjustment are all recorded. Then test an exchange: an old bike taken against a new one with an agreed value. A strong system moves the old bike into used stock, records its condition and later shows what it sold for.
Finance and documents
Many customers buy with bank or leasing finance. The software should let you track a finance case: the lender, documents requested, documents received and status. It does not approve loans, and you should be wary of any vendor that claims a direct link to banks without proof. For documents, ask for a delivery checklist that records invoice, insurance, registration papers, keys, manuals, accessories and the customer's signature. Rules and fees for registration and tax change, so confirm them with the relevant offices.
| Stage | Record to check |
|---|---|
| Enquiry | Lead, source, model, follow-up date |
| Test drive | Date, feedback, next step |
| Booking | Advance, unit, promised date |
| Finance | Lender, documents, status |
| Invoice | Price, accessories, VAT, exchange |
| Delivery | Documents, keys, signature |
Reports owners actually use
Ask to see stock ageing, sales by model and colour, lead conversion by salesman, pending deliveries and advance balances. These five reports tell you what to order, whom to coach and what to chase. Avoid being impressed by dozens of charts that do not change a decision.
Support and fit
Showrooms are busiest around festivals and the weeks before auspicious days. Ask how fast support responds then. Ask whether the system can be adjusted for your brand's documents and whether training covers salesmen as well as accounts. Ask about data export, access control and backups, since customer lists and pricing are sensitive.
Next step
List your current stock, open bookings and pending deliveries; they will make a realistic demo. See how WebsNP showroom software handles them, and message +977 9846280400 on WhatsApp to arrange a demo. If you run your own service centre, look at garage and workshop software as well.
