Vehicle Papers and Records a Nepal Showroom Should Keep
In a vehicle showroom, paperwork is part of the product. A customer who waits weeks for a document will not praise the bike or the car for long. Keeping the right records per vehicle and per customer shortens that wait and protects the showroom if a question arises years later. This article is about record keeping, not legal advice; rules, fees and procedures for registration, tax and transfer change, so confirm them with the relevant offices.
The vehicle file
Each unit should have a file that begins when it arrives and ends only when the last document has been handed over. Record the manufacturer's invoice or delivery note, chassis and engine number, colour and variant, arrival date, storage location and any inspection note. If the unit is imported through a distributor, keep the distributor's paper reference. A simple scan of each document, saved under the chassis number, makes retrieval fast.
- Purchase invoice from the supplier or distributor
- Chassis, engine number and colour
- Inspection and pre-delivery notes
- Photographs on arrival if there is damage
The customer file
For each buyer, keep full name, address, phone numbers, a copy of identity documents as you are permitted to hold them, the booking receipt, the invoice, delivery acknowledgement and any finance papers. Treat this information as sensitive. Limit who can open customer files, and do not share them over casual chat groups. When a customer asks for a copy of an invoice years later, you should be able to find it in a minute.
Bluebook, registration and insurance as status records
After sale, several papers move between offices, insurers and the customer. Rather than rely on memory, record each one as a status: not started, submitted, awaiting, ready, handed over. Add the date and the staff member responsible. For insurance, record the company, policy number and period. For registration-related papers, record the submission date and the expected follow-up date. The software stores your status; it does not file anything with an office.
| Paper | Fields to store |
|---|---|
| Sales invoice | Number, date, amount, VAT, payment mode |
| Insurance | Company, policy number, start and end |
| Registration papers | Status, submission date, follow-up |
| Finance papers | Lender, case reference, status |
| Delivery note | Date, items handed, customer signature |
Exchange and used vehicle papers
When you take an old vehicle in exchange, collect and record its ownership paper details, the owner's identity, the odometer reading, any dues and the agreed value. Note whether ownership transfer is the customer's duty or the showroom's, and by when. A used vehicle that sits in stock with incomplete papers is difficult to sell. List missing papers on the vehicle record so the team chases them while the previous owner is still reachable.
Accessories, warranty and service booklets
Record accessories sold with each vehicle and any free items promised. Record the warranty terms as given by the manufacturer, including the first service date or kilometre. This prevents the common complaint that "the salesman told me something else". Keep the first service reminder date on the file so the customer is invited before the interval passes.
Dates and calendars
Documents in Nepal often use Bikram Sambat dates, while manufacturer paperwork uses AD. Record both where you can. Keep the same format throughout your files so staff do not mix them. Fiscal year reports begin in Shrawan, so filter your sales and stock by that cycle for your accountant.
Retention and backup
Decide how long you keep records and where. Keep scans in a folder with a clear naming pattern, backed up regularly. If you use software, confirm how backups are made and how you can export files. Paper originals should be locked away and logged when removed.
Next step
Pick five recent sales and check whether every paper in the lists above can be found in under two minutes. Anything missing shows where your process leaks.
