Vehicle Booking to Delivery: A Showroom Process That Works
The path from booking to delivery is where a showroom either earns a customer for life or collects complaints. Customers worry about whether their vehicle is really reserved, whether the date will hold and whether every paper will be ready on the big day. A clear process, recorded at each step, answers those worries before the customer has to ask. The steps below suit a bike or car showroom in Nepal.
Step 1: Confirm the booking
When a customer decides, record their full name, address, phone, the model, variant and colour, the agreed price and the booking advance. Issue a receipt with a number. Write the expected delivery date as a range if you are waiting for stock, and tell the customer clearly what happens if the date slips. Explain your cancellation and refund policy in plain words at this stage, and record that you did. Disputes about refunds nearly always come from an unspoken rule.
Step 2: Allocate a unit
Do not simply count a booking against a model. Allocate it to a specific unit once the stock arrives, matching colour and variant. Record the chassis number against the booking. If you cannot allocate right away, mark the booking as waiting for stock and keep a list ordered by booking date, so the oldest booking is served first. This simple rule avoids favouritism complaints and protects staff from pressure.
Step 3: Finance and exchange
If the customer needs finance, open a finance case and list what the lender asks for. Typical items are identity documents, income proof, photographs and a quotation, though each lender has its own list. Record which are received and which are pending, with dates. Any exchange should be inspected, valued and agreed in writing before the invoice is prepared. Record the agreed exchange value and photographs, and move the old vehicle into used stock after delivery.
- Finance case: lender, documents requested, received, status
- Exchange: vehicle details, condition notes, agreed value, photos
- Remaining balance: how and when it will be paid
Step 4: Pre-delivery inspection
Before delivery, the vehicle should be cleaned, inspected and fitted with any accessories sold. Record who did the inspection, what was checked and any issue found. Fill fuel or charge the battery according to your policy. Check that the colour, chassis number and variant match the invoice. A wrong colour discovered at handover is a sad moment for everyone and entirely avoidable with a simple check.
Step 5: Invoice and documents
Prepare the invoice with the vehicle price, accessories, discount, exchange value and VAT as applicable. Confirm VAT treatment with your accountant. Collect the balance or record the finance disbursement. Then prepare the document set: invoice, insurance, registration-related papers, user manual, warranty or service booklet, keys and any accessories. Check each against a list.
| Item | Checked |
|---|---|
| Invoice and receipt | Customer copy and showroom copy |
| Insurance paper | Policy number and dates |
| Registration-related papers | Status noted, follow-up date set |
| Keys and manuals | Counted and handed over |
| Accessories | Listed and fitted |
Step 6: Handover
Handover is a small ceremony in Nepal, often with family, a tika and sometimes a puja. Plan for it. Choose the day and time the customer wants, since many choose an auspicious time. Walk the customer through the controls and features, explain the first service and take a photo if they wish. Get a signature on the delivery checklist and note any remarks.
Step 7: After delivery
Registration and related paperwork often continue after the customer takes the vehicle. Keep the status visible and set a date to inform the customer when papers are ready. Record the first service date or kilometre and send a reminder. A thank-you message after a few days, and a polite request for a referral later, brings in new enquiries at almost no cost.
