Sahakari Hisab Kitab Software for Nepali Co-operatives
One system for members, shares, savings, loans, interest and passbooks, kept in Bikram Sambat dates and built around how a Nepali sahakari really works.
A saving and credit sahakari lives on trust, and trust lives on records. Every member expects the passbook, the ledger and the office computer to show the same balance. When the books sit in registers and scattered Excel files, that agreement breaks down at exactly the wrong moment: a member disputes interest, the board asks for a loan ageing list, or the auditor arrives.
WebsNP builds sahakari software that keeps the whole member journey in one place: admission, share capital, daily or monthly savings, loans, interest, fines and closing. Dates run in Bikram Sambat, the fiscal year starts in Shrawan, and every entry feeds a ledger that balances.
The software supports the record-keeping that the Department of Co-operatives and your own auditor expect. Reporting formats and rules change, so we configure the reports with you and you should always confirm the current required formats with the regulator. Ask for a demo on WhatsApp and see it with your own sample data. You may also want to compare it with our loan management software if you lend outside a membership model.
Who Co-operative Hisab Kitab Software is for
Saving and credit sahakaris
Local co-operatives that collect member savings and lend them back, with share capital, many small accounts and monthly board meetings.
Tole and ward level co-operatives
Small sahakaris run by a manager and a few staff who still keep a daily collection register and want to stop re-writing everything into a ledger.
Women and community co-operatives
Member groups that have grown past what one volunteer secretary can track by hand and now need proper passbooks and loan files.
Multi-purpose and agricultural co-operatives
Co-operatives that combine savings and lending with produce collection, shop sales or input supply and need one member record across all of it.
Co-operatives with field collectors
Societies where collectors visit shops and homes daily, so every receipt must reach the office ledger without retyping.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Member balances in the passbook and the ledger do not agree | Every deposit and withdrawal posts once and updates the member account, the passbook line and the ledger together, so there is one balance to argue about. |
| Interest is calculated by hand every quarter and members dispute it | Interest is calculated from the stored rate and daily or monthly balance with the method your rules specify, and a member can see the working. |
| Nobody knows exactly which loans are overdue | A live overdue list shows instalment, interest and fine due per borrower, grouped by how late the payment is, ready for the manager and the loan committee. |
| Collectors write receipts that reach the office days later | Collections are entered against the member as they happen, with day-end totals per collector so cash handed over can be checked straight away. |
| The auditor and the AGM need reports that take weeks to prepare | Trial balance, income and expenditure, balance sheet, share register and loan reports come from the same entries, filtered by BS fiscal year. |
| One staff member holds all the knowledge in a private Excel file | Data lives in one shared system with user roles and an activity log, so staff changes no longer put the books at risk. |

Built for how Nepal works
Bikram Sambat dates and Shrawan fiscal year
Entries, statements and reports use BS dates, and the financial year opens in Shrawan with proper year-end closing and opening balances.
Built around co-operative record-keeping
Share register, member ledger, minute-linked decisions and loan files follow the records a sahakari is expected to keep. Confirm current reporting formats with the Department of Co-operatives or your auditor.
Nepali and English output
Passbooks, receipts and statements can be printed in Nepali, English or both, with amounts in NPR and Nepali numerals if you prefer.
Works for rural offices
Designed for modest computers, printers and patchy connections. Options for a local office server mean work continues through load-shedding and internet drops.
SMS and WhatsApp follow-up
Balance alerts and due notices can be configured through an SMS gateway or sent as WhatsApp messages by staff.
How we get you started
- Walk through your current practice We review your registers, passbook format, interest rules and reports on a call or visit, and note anything specific to your co-operative.

- Parallel run Your staff enter real transactions for a short period while the old books continue, and we compare totals until they match.
- Training and go live Cashiers, collectors and the manager are trained on their own screens, then the old registers are closed at an agreed BS date.
- Support after launch Changes in policy, new reports and year-end closing are handled by the same team on WhatsApp or phone.

Is this software suitable for a small tole sahakari?
Yes. A small co-operative can start with members, savings, loans and passbooks on one computer, then add collectors, SMS alerts and extra reports as it grows. The set-up is scaled to your size rather than forcing a large system on you.
Can you import our existing member and loan data?
Yes, in most cases. We take your Excel sheets or registers, clean them with you, import members, share balances, savings and open loans, and match the totals against your last trial balance before you start entering new work.
Does it use Nepali dates?
Yes. Vouchers, passbook entries, instalments and reports use Bikram Sambat dates. The fiscal year begins in Shrawan, and you can filter any report by BS month, quarter or year.
How is interest calculated?
Interest follows the method and rates stored for each account or loan product, for example on daily balance or reducing balance. We set the rules with you from your bylaws, and each calculation can be traced back to its balance and dates.
Will it meet Department of Co-operatives reporting?
It is designed to support the records and reports a co-operative is expected to keep. Required formats can change, so please confirm the current ones with the regulator or your auditor, and we will configure the reports to match.
What happens during load-shedding or when the internet is down?
A local installation keeps working without internet, so counter work continues. If you choose an online setup, we discuss backup power and a fallback so staff are never stuck at the counter with a queue of members.
Can members see their balance on their phone?
Balance alerts by SMS or WhatsApp can be configured. A member portal is also possible as a custom addition. Ask us in the demo which option suits your members and your budget.
How much does it cost?
The price depends on the number of branches, users and modules, and whether you want local or online hosting. We give a clear quote after a short demo and call, with no obligation to proceed.
