Optical Shop Software for Eye Test Records, Stock and Orders
Record eye test readings, track frames and lenses, follow each spectacle order to delivery and bill with advance and balance in one tidy system.
An optical shop looks simple from the street, but behind the counter there is a lot to track. Every customer has an eye test record, every spectacle order has a frame, a lens type, a lab or workshop and a delivery date, and every order has an advance and a balance. When these live on slips of paper, orders get delayed, readings are lost and customers return asking for their old prescription.
Optical shop software from WebsNP keeps each customer's readings as entered by your optometrist, links them to the order, tracks the order through the lab and tells the counter when it is ready to deliver. Frames and lenses are stocked by model and price, and the bill shows advance, balance and VAT clearly.
This software is for record keeping, stock, orders and billing. It does not interpret tests or give advice about anyone's eyes. That remains the job of your optometrist or doctor. If you also run a clinic room, see clinic management software.
Who Optical Shop Software is for
Single counter optical shops
Owner-run shops that keep readings in a register and want faster lookups and cleaner bills.
Shops with an in-house eye test room
Practices where an optometrist records readings that flow into the order.
Multi-branch eyewear chains
Businesses that share a customer list and track stock and orders across branches.
Shops that fit lenses in their own workshop
Counters with edging and fitting equipment that track jobs through each stage.
Sunglass and contact lens retailers
Sellers who need barcode stock and quick billing for ready items.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Old eye test readings are hard to find | Every test is saved against the customer with the date, so past readings are a search away. |
| Customers call to ask if their glasses are ready | Each order has a status, and a WhatsApp or SMS message can tell the customer when it is ready. |
| Orders sent to the lab are lost or delayed | Lab orders are tracked by date sent, expected date and received date, with a list of overdue ones. |
| Frame stock does not match what is on the display | Frames are stocked by model, colour and barcode, and sales reduce stock automatically. |
| Advance and balance are confusing | The bill shows total, advance paid, balance due and the delivery date. |
| Repeat customers are not recognised | Purchase history, last test date and family links help staff serve returning customers. |

Does the software interpret eye test results?
No. It stores the readings entered by your optometrist and prints them. It does not interpret results or give advice. That remains with the qualified practitioner.
Can I track an order from the lab?
Yes. Each order moves through statuses such as taken, sent to lab, received, fitted and delivered, and an overdue list shows delayed jobs.
Can it tell customers their glasses are ready?
It can prepare a message for each ready order, sent through the WhatsApp or SMS arrangement we set up together. Delivery depends on the provider.
Can I use barcode labels for frames?
Yes. Frames can be given codes and labels printed, so scanning at the counter picks the exact model. A label printer and scanner are bought separately.
Does it handle advance and balance payments?
Yes. The bill records the advance, each later payment and the balance, and a pending list shows which customers still owe money and since when.
Can I keep warranty and repair records?
Yes. You can store your warranty terms against an order and log repairs or replacements, so disputes are settled from the record.
Can I move my customer list from Excel?
Yes. Customer and stock lists can be imported from Excel files. Paper test cards can be entered during set-up, and the time needed depends on how many you have.
How much does it cost?
The price depends on branches, users, stock features and customisation, so we quote after a demo. Ask us on WhatsApp.
