Agriculture, trade and manufacturing
Tea, Coffee and Food Processing Software for Nepal
Follow every lot from farmer intake to packed stock and sale, so yield, batch records and customer orders sit in one system instead of loose registers.
A tea factory in Ilam, a coffee pulper in Gulmi and a small spice or honey packer in Kathmandu share one problem: the product changes form several times and the paperwork rarely keeps up. Green leaf becomes made tea, cherry becomes parchment becomes green bean, and bulk becomes pouches. Tea, coffee and food processing software follows the lot through each change and keeps the quantity honest.
WebsNP configures the system around your own steps: weighing at intake, payment to growers or collection centres, processing stages, grading, packing sizes, stock by batch and sales to wholesalers, shops or buyers abroad. Dates can be shown in Bikram Sambat, amounts are in NPR and invoices can be configured for 13% VAT where you are registered.
The owner can see yield by lot, stock by grade and what each buyer owes. Read about factory production software for general manufacturing, or message us on WhatsApp to see a demo shaped around your product.
Who Tea, Coffee and Food Processing Software is for
Tea estates and orthodox tea factories
You collect leaf from your own gardens and smallholders, process in lots and sell by grade.
Coffee pulping and hulling units
You buy cherry or parchment from farmers and need clear lots, yield and payments.
Spice, honey, ghee and pickle makers
You buy raw material, process in batches and pack into retail sizes under your own brand.
Cooperatives and farmer groups
You aggregate from members, process centrally and need a fair record of each member's contribution.
Exporters and traders who pack
You blend, grade and pack for buyers and must be able to say which lots went into which shipment.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Nobody can say which farmer's leaf or cherry went into which finished lot | Intake is recorded by grower and date, and each processing lot lists its source intakes, so a finished batch can be traced back. |
| Yield varies and nobody knows why | Input weight, output weight and wastage are recorded per stage, so yield by lot, shift and season is visible. |
| Payments to growers are calculated on paper and disputed | Weights, quality deductions and rates are held per intake, and a statement for each grower can be produced on request. |
| Packing and finished stock do not match what was made | Packing converts bulk into pack sizes and deducts bulk stock, so loose and packed balances reconcile. |
| Customers ask for the date and lot of a pack and the answer takes an hour | Each pack size carries a batch and pack date, and a lot search lists the customers who received it. |
| Slow-moving or ageing stock is only noticed when it is stale | Stock by batch and age shows what to sell first, with expiry or best-before dates where you set them. |
Features and modules
Intake and growers
Weigh and record leaf, cherry or raw material by grower, collection centre and date, with quality remarks.

Rates, deductions, advances and payment statements per grower or member.
Lots and batches
Processing lots that link intakes to outputs, with stage dates and operators.
Process stages
Withering, rolling, drying, pulping, roasting, blending or cooking recorded as stages you define.
Yield and wastage
Input against output at each stage, with variance by lot, shift and period.
Grading
Tea grades, coffee screen sizes or your own quality grades with quantities.
Packing
Convert bulk to pack sizes with batch number, pack date and optional expiry date.
Stock by batch
Raw, in-process and finished stock with age and location.
Sales and VAT
Quotations, invoices and challans that can be configured for 13% VAT, with buyer ledgers.
Traceability search
Search a batch to see sources and customers, or a customer to see batches received.
Owner reports
Yield, stock, sales by grade, grower balances and buyer dues for any period.
Built for how Nepal works
Seasonal flush and harvest cycles
Tea flushes and coffee harvests produce sudden peaks of intake. Daily capacity and stock views help you plan labour and drying space, and reports compare seasons in BS months.
Smallholder collection
Much of the supply arrives from many small growers and collection points. Intake is recorded per grower with a unit and rate, and payment follows your own cycle.
Food safety, labelling and licences
Registration, labelling and quality rules for food products are set by Nepali authorities such as the food quality control bodies, and they change. The software can print batch numbers and dates on records and labels, but confirm what you must hold with the relevant office.
NPR, VAT and buyer credit
Wholesalers and shops buy on credit. Invoices are in NPR and can be configured for 13% VAT where you are registered. Confirm your own registration duty with the IRD or your accountant.
Buyers abroad
If you sell to overseas buyers, the system can keep a lot history and a packing list per shipment. Export documentation and rules are handled by your forwarder and the relevant authorities, not by the software.
How we get you started
- Demo on WhatsApp or video Tell us your product, your stages and how you buy raw material. We show a demo close to your plant.
- Quote and agreement You receive a written quote after the demo, based on units, users, stages and customisation.
- Set-up and master data We add growers, grades, pack sizes, stages and customers, and enter opening stock with you.
- Staff training Intake, plant and office staff practise on real lots and packing runs before the first live batch.

Guides: Tea, Coffee and Food Processing Software
How to Choose Tea, Coffee and Food Processing Software
Processing software is judged on how well it tracks a lot as it changes form. Here is what to check before choosing one.
Read guide ›Lot and Batch Traceability for Tea and Coffee Units
Traceability sounds heavy, but it is a numbering habit. This is how a small Nepali processor can follow a lot from farm to customer.
Read guide ›Tea, Coffee and Food Processor Records in Nepal
Food and tea businesses in Nepal answer to several offices. Good records make every conversation with them easier.
Read guide ›Processing Software vs Registers: Cost and Payback
Registers cost little to start but a lot to run in a busy harvest. Here is how to weigh them against software with your own numbers.

Most losses in a processing plant start with small recording habits. Use this checklist to find yours before the next season.
Read guide ›Frequently asked questions
Can it handle both tea and coffee in one system?
Yes. Each product has its own stages, grades and units, so a plant that processes tea in one season and coffee or spices in another can run both. Reports can be filtered by product.
How does batch traceability work?
Each intake is linked to the lots it feeds, and each lot to the packs it produces and the customers who received them. You can search either way, from a pack back to its sources or from a source forward to its customers.
Can I pay growers and track advances?
Yes. Weights, quality deductions, rates and advances are recorded per grower, and a statement shows what is owed. Your own payment cycle and any cooperative rules are set up with you.
Does it print labels?
It can be configured to print batch numbers and dates on records and on label layouts you provide. Label content required by regulation must be confirmed with the relevant authority, as the software does not decide that.
Can it help with export paperwork?
It can hold lot history and a packing list per shipment, which supports your documents. The paperwork itself and its rules are handled by your forwarder and the authorities. We do not file anything for you.
Can I track yield by shift or machine?
Yes. Input and output are recorded at each stage with the date and shift, so you can compare shifts, lots and seasons. How granular you go depends on how much the operators will enter.
Can the system work with a weighing scale?
It is designed to take weights typed at the scale and, where the device allows, imported readings. Compatibility depends on the scale make, so we check the model during the demo.
What does it cost?
Price depends on the number of users, stages, centres and customisation, so we quote after a demo instead of publishing a fixed rate. Message us on WhatsApp to ask.
