Milk Collection Software for Dairies and Collection Centres in Nepal

Record every farmer, shift and litre, price milk by fat and SNF, and close the payment cycle without a single calculator.

A collection centre looks simple from the road: farmers arrive with cans, the milk is weighed, tested and poured into the chiller. Behind that counter sits a lot of arithmetic. Each farmer has a different fat and SNF reading twice a day, every reading changes the amount payable, and at the end of the cycle the same farmer also wants the feed, the advance and the earlier balance settled on one slip.

WebsNP Dairy and Milk Collection Software turns that counter work into a quick entry screen. You enter the farmer code, quantity, fat and SNF. The system applies your rate chart, prints the receipt and updates the farmer ledger at once. Morning and evening shifts stay separate, and the totals you send to the dairy or cooperative are ready when the shift ends.

We configure the software around how your centre already works: your rate chart, your payment cycle, your deductions and your reports. If you also run a cooperative savings side, see our cooperative software. For a first look, message us on WhatsApp and ask for a demo with your own rate chart.

Who Dairy and Milk Collection Software is for

Village collection centres

Centres that collect from tens or hundreds of farmers every morning and evening and need fast entry and an honest receipt for each farmer.

Dairy cooperatives and farmer groups

Committees that pay members on a cycle, keep share and feed accounts, and must present clear figures at the annual general meeting.

Private chilling centres and small dairies

Owners who buy from several routes, sell onward to a larger dairy or process locally, and want to know the margin per route.

Cheese, paneer and curd producers

Small processors who buy milk from farmers and need purchase records tied to the batches they make.

Milk route agents and collectors

People who pick up from many farms on a route and need each farmer record kept apart from their own commission.

Problems it solves

The problem todayHow the software fixes it
Fat and SNF figures are written in a register and the payable amount is worked out later, so mistakes and disputes follow. The amount is calculated at entry from your rate chart, shown to the farmer and printed on the receipt before the can leaves the counter.
Morning and evening milk get mixed in one page and totals for each shift are hard to find.Every entry carries a shift tag, so shift totals, average fat and SNF and chiller input are one click away.
Farmer balances live in separate notebooks for advances, feed and milk, and nobody agrees on the final figure. One ledger per farmer combines milk credit, advance, feed and other deductions, so the cycle closing slip shows a single net amount.
The committee waits days for the monthly statement and members doubt the numbers.Cycle statements and member-wise reports are generated from the same entries, with every line traceable to a date and a shift.
Staff changes or a lost register mean the history of a farmer disappears. All records are stored centrally with user logins, so a change of operator does not break the history and edits can be reviewed.
Rate changes are applied inconsistently across the counter.Rate charts are stored with effective dates, so every operator uses the same figure and old entries keep the rate they were priced at.

Built for how Nepal works

Bikram Sambat dates and Nepali cycles

Entries, cycles and reports use BS dates, and payment cycles can follow the Nepali month or the ten-day pattern your centre already uses.

Cooperative style records

Share, feed and loan accounts that many dairy cooperatives keep for members can be configured alongside milk accounts.

Quantity in litres or kilograms

Centres buy by litre, by kilogram or both. We configure the unit and the conversion your counter uses.

Connectivity and power cuts

Collection happens in early morning in places with weak internet and load-shedding. We discuss an offline-friendly setup at the demo so the counter does not stop.

Payment through bank and wallets

Payable lists can be exported for bank transfers or recorded against cash payment, and wallet payments can be noted against each farmer.

Guides: Dairy and Milk Collection Software

Frequently asked questions

Does the software calculate the price from fat and SNF?

Yes. You enter your own rate chart and the software looks up the rate for each fat and SNF reading. The rate chart is yours to edit with an effective date, so old entries keep the rate they were priced at.

Can I keep morning and evening milk separate?

Yes. Every entry carries a shift. You can see totals, average quality and farmer count for each shift, and close one shift before opening the next.

Can it connect to my weighing scale or fat analyser?

Manual entry always works. Direct connection depends on the make and model of the device. Tell us the device at the demo and we will confirm what is possible before you decide.

How are farmer payments handled?

You choose the cycle. At closing, the system lists each farmer's milk credit, minus advances, feed and other deductions, and prints a slip. You can record cash, bank or wallet payment against each name.

Will it work when the internet is slow or the power is off?

It depends on the setup you choose. A local installation with backup power keeps the counter running through outages. We explain the options and trade-offs during the demo.

Can we send the farmer a message after each entry?

It can be configured to send summaries through an SMS or WhatsApp gateway that you subscribe to. Message charges are paid to the gateway provider and not included in the software.

What does it cost?

Price depends on the number of centres, users and any device or SMS integration. We quote after a demo, so you pay for what your centre needs.

Can I import my existing farmer list?

Yes. Send the list as a spreadsheet or photographed register and we load farmers, codes and opening balances before go-live.
