The problem with a free address, stated plainly
A free personal account is fine while a business is one person and a phone number. It stops being fine at the point where other people start sending you money, documents or staff.
- Nobody can verify you. Anyone can create an address with your company's name in it. A message from your domain can only come from someone your organisation created.
- The account belongs to a person, not the company. When a sales executive leaves with the login to the address every client writes to, the client history leaves too.
- There is no admin. No one can reset a password, suspend an account, or read a leaver's mailbox to find an unanswered order.
- Role addresses are impossible. You cannot have three people answering info in a way that leaves a shared record.
Google Workspace fixes all four, because the domain is the account boundary. You own the domain, you own the accounts on it.
One thing business email does not do: it does not improve your position in Google Search. Any vendor telling you that a domain mailbox lifts your rankings is selling you something that is not on Google's list of what the product does.

info, sales and support: users, groups or aliases
This is where most first-time buyers overspend, so it is worth three minutes. There are three ways to make a role address exist, and only one of them costs a licence.

A five-person trading company usually needs five users, plus info and sales as groups and accounts as an alias on the finance person's mailbox. That is five licences, not eight. Groups are the better choice for anything two or more people must answer, because the record stays with the organisation when one of them leaves.
Decide your naming convention before you create anyone: firstname, firstname.lastname or initial plus surname. Changing it after 30 business cards are printed is a job nobody enjoys.
Ownership and offboarding, the part that pays for itself
An education consultancy in Putalisadak has counsellors handling applications for students who will still be writing back in eighteen months. When a counsellor leaves, the company needs the correspondence. On a personal account the company has nothing to ask for. On Workspace an administrator suspends the account, transfers the Drive and Calendar data, then deletes the user.
The timing matters. Google retains a deleted user's data for 20 days so the account can be restored, after which it is unrecoverable, and Google's guidance is to transfer Drive and Calendar data before deleting. On the flexible plan removing a user prorates the bill; on an annual plan the licence stays and can be reassigned to the next hire.
Sending limits and attachments
Workspace mailboxes are for business correspondence, not bulk mailshots, and Google's limits reflect that. On a paid account each user can send 2,000 messages a day, with 2,000 recipients per message of which a maximum of 500 can be external. Trial accounts are limited to 500 messages a day. Outgoing attachments are capped at 25 MB.
If you send marketing to a list, use a bulk-email service and keep the Workspace mailbox for real conversations. Bulk senders above 5,000 messages a day must have SPF, DKIM and DMARC configured, which is another reason to get the DNS records right at setup.
Which edition does a Nepali business need?
For an office that mostly sends email, keeps documents in Drive and holds occasional video calls, Business Starter is enough. Move to Business Standard when you need Meet recording, more storage than 30 GB per user, eSignature, or Gemini inside Docs, Sheets, Slides and Meet notes rather than Gmail alone. Business Plus is for retention and audit requirements: Google Vault, advanced endpoint management and 500-participant meetings.
Google's own list price for Business Starter is $7 per user per month on the annual fixed-term plan and $8.40 on the flexible monthly plan, billed in US dollars by card. NPR is not a supported Google billing currency; Nepal falls under Google's "US dollars or euros" category, and Google's own advice is to contact a local reseller where a local payment method is not offered. When Workspace is not the right answer
Two honest cases. If you need twenty mailboxes for staff who only send and receive mail, and the budget will not stretch, WebsNP's own business email hosting is cheaper per mailbox and still puts your domain in the sender line. If you want a suite but at a lower price point, Zoho is the usual comparison. Neither gives you Google Drive, Meet at Workspace limits or Gemini, so the decision is about what your team actually opens every day.
How the changeover runs
- Confirm the domain. You need one you control. If you do not have one yet, see domain registration in Nepal, including free .com.np registration.
- Verify ownership. A TXT record at the domain, active in about ten minutes.
- Create users, groups and aliases. Following the naming convention you agreed above.
- Import the old mail. The Admin console data import tool pulls history from cPanel webmail, Zoho or another Workspace tenant over IMAP.
- Switch MX. One record, host @, priority 1, value smtp.google.com. Propagation can take up to 72 hours, so old and new mailboxes overlap for a while.
- Authenticate. SPF straight away, DKIM once Gmail has been running 24 to 72 hours, then DMARC starting at p=none.

Frequently asked questions
Can I keep my existing address while I test Workspace?
Yes. Users can be created and mail imported before you touch DNS, so nothing changes for your senders until you switch the MX record. Google offers a 14-day free trial for up to ten users if you sign up directly.
Do I need a licence for info and sales?
No. A group or an alias gives you the address without a paid mailbox. Use a group when several people must answer it and you want a shared record, and an alias when it should land in one person's inbox.
Can staff use Outlook instead of Gmail?
Yes, over IMAP, and the Gmail apps for Android and iOS work the same way as a personal account. The address, the storage and the admin controls stay the same whichever client they open.
How many messages can one account send a day?

What happens to a mailbox when an employee resigns?

Will business email help my website rank higher on Google?
No. Search ranking and email hosting are separate things and Google does not list any ranking benefit among what Workspace does. Buy it for credibility, ownership and administration, not for SEO.
Can I pay in rupees?
