Google Workspace Business Plus: Vault, endpoint control and 5 TB per user

Business Plus is the top Business edition: everything in Business Standard, plus Google Vault, advanced endpoint management, Secure LDAP, 5 TB of pooled storage per user and Meet rooms of 500 with attendance tracking.

It is also the edition most teams do not need. This page is written as a test: if none of the four questions below is a yes for your organisation, buy Business Standard and spend the difference elsewhere. The Workspace hub has the wider picture.

Four questions that decide it

  • Do you have to produce old email or files for an audit, a donor or a court? That is Google Vault, and Vault is only in Business Plus.
  • Do staff leave with knowledge you must keep? Retention rules hold data even after an account is deleted.
  • Do you run events or town halls for more than 150 people, or need to know who attended? Plus raises Meet to 500 participants and adds attendance tracking.
  • Do you need real control over the devices holding company mail? Advanced endpoint management is a Plus feature.

Google Vault is the reason most buyers choose Plus

Vault is not a backup product and it is not a folder anyone browses day to day. It is an archive and search layer over Gmail, Drive, Chat and Meet recordings that an administrator or a nominated Vault user can act on. Three parts of it change how an organisation behaves.

Retention

You set rules for how long messages and files are kept, and the rule outranks the user. Without Vault, a deleted user's data is retained for 20 days for restore and is unrecoverable after that, and anything a person permanently deletes from their own mailbox is gone. With a retention rule in place, the record survives the person's housekeeping.

Legal holds

When a dispute is on the horizon, a hold preserves the relevant accounts' data so that ordinary deletion does not remove it. This is the difference between telling an auditor "we hold everything from that period" and hoping the counsellor who ran that project never emptied their bin.

eDiscovery and export

Search across the organisation by user, date range, keyword or file type, and export what you find in a defensible format. In practice this is what handles a donor's request for all correspondence with a supplier, or a lawyer's request for a project's paper trail.

Vault does not replace a backup or good file habits. If work lives in an individual's My Drive rather than a Shared Drive, offboarding is still messy, so transfer Drive and Calendar data before deleting any account. Device control and Secure LDAP

Every Business edition includes basic endpoint management, which is enough to see enrolled devices and wipe a lost phone's account access. Advanced endpoint management, in Plus only, gives an administrator far more: device policy enforcement, tighter mobile management and a real answer to the question of what happens when a field officer's phone disappears at a checkpoint with three years of mail on it.

Secure LDAP, also Plus only, lets older systems and applications authenticate against your Workspace directory rather than keeping a second list of users and passwords. If you run a network appliance, a VPN or an on-premise application that speaks LDAP, this is the feature that stops staff having two identities. Meet at 500, with attendance tracking

Plus raises the participant limit to 500 and keeps the 24-hour meeting length, on top of the recording, noise cancellation and breakout rooms that arrive with Standard. Attendance tracking is exclusive to Plus, and it is the practical reason training providers and larger organisations pick it: a record of who joined and for how long, without anyone taking a manual roll call.

Live streaming is not in any Business edition. Google reserves it for Enterprise and Education Plus, so an organisation that needs to broadcast beyond 500 participants has to look outside the Business range.

5 TB per user, pooled

Plus pools 5 TB per licence across the whole organisation. Twenty licences make a 100 TB pool shared across Gmail, Drive and Photos, and one heavy user can draw on far more than their nominal share. Individual files can be up to 5 TB. If the pool is exceeded by 25%, or stays over for 14 days, users can no longer add files to Drive or create new Docs, Sheets and Slides, so an archive-heavy organisation should still watch the number rather than assume it is infinite.

Gemini is the same on Plus as on Standard: Gemini in Gmail, Docs, Sheets, Slides, the Drive side panel and Meet, the Gemini app at Pro access where chats and uploads are not reviewed by humans, and Gemini Notebook with higher limits. Paying for Plus does not buy more AI, it buys retention and control.

NGOs answering to donors

Donor audits ask for correspondence and documents from projects that closed years ago, often after the staff who ran them have moved on. Retention rules and eDiscovery make that a search rather than a scramble.

Law and accounting firms

Client files, engagement letters and advice trails that must survive a partner leaving, with holds available when a matter turns contentious.

Finance and larger corporates

Organisations with internal audit functions or regulatory retention obligations, where "we deleted it" is not an acceptable answer.

Training providers

Sessions with hundreds of attendees, recorded, with attendance evidence for certificates or funders.

Consultancies with high staff turnover

Business Plus price in Nepal

$19.53 per user per month
$234.36 per user per year through WebsNP, payable in rupees. Business Plus can be ordered monthly or yearly. Setup and mailbox migration are included, and your accounts stay in your own Google Admin console.
Order Business Plus

Google's list price for Business Plus is $22 per user per month on the annual or fixed-term plan and $26.40 on the flexible monthly plan, billed in US dollars by card, since rupees are not a supported Google billing currency. All three editions are set out together on the Workspace price page.

Plus does not have to cover everyone. Editions can be mixed in one organisation, so a common arrangement is Plus for directors, finance and anyone whose records must be retained, with Standard or Starter for the rest. Tell us the split and we will licence it that way.

Frequently asked questions

What does Google Vault actually do?

Vault gives an organisation retention rules, legal holds and eDiscovery search and export across Gmail, Drive, Chat and Meet recordings. It is an archive and search layer for the organisation, not a per-user feature or a backup service, and it is available only in Business Plus among the Business editions.

Is Business Plus a backup?

No. Vault preserves data under rules you set and lets you search and export it, which is different from a restorable backup of everything. Good practice is still to keep work in Shared Drives and transfer a leaver's Drive and Calendar data before deleting their account.

Does Business Plus include more Gemini features than Standard?

No. The Gemini set is the same on both: Gmail, Docs, Sheets, Slides, the Drive side panel and Meet, with the Gemini app at Pro access and Gemini Notebook at higher limits. Plus adds retention, device control and larger meetings, not more AI.

Can I get data loss prevention on Business Plus?

No. DLP and Context-Aware Access are Enterprise features and are not in any Business edition, including Plus. Live streaming is also outside the Business range. Enterprise editions have no user cap and Google prices them through its sales team.

Can I buy Business Plus for only some of my staff?

Yes. Editions can be mixed within one organisation, so you can licence Plus for the people whose records must be retained and keep others on Standard or Starter. Ask us to make the change so it is applied to the subscription we bill.

How many people can join a Meet call on Business Plus?

Up to 500 participants, for up to 24 hours, with recording, breakout rooms, noise cancellation and attendance tracking. Attendance tracking is the one Meet feature exclusive to Plus among the Business editions.
