Gemini in Google Workspace: What Each Plan Includes

The short version

Included, not an add-on. Since 16 January 2025 Google folded Gemini features into Business and Enterprise plans instead of selling a separate "Gemini for Workspace" licence.
Business Starter gets Gemini in Gmail, the Gemini app at Standard access, and Gemini Notebook. It does not get Gemini in Docs, Sheets, Slides or Meet.
Business Standard and Plus get the full set, including Gemini app Pro access, where chats and uploads are not reviewed by humans or used to improve Google's models.
Not included in any Business edition: Flow, Veo and Whisk. Those sit behind a separate paid add-on.
There are no "AI credits" in Workspace. That is a Google AI plan concept, not a Workspace one.

What changed in January 2025

Before that date, Gemini in Workspace was a paid add-on stacked on top of your subscription. Google's own example of the change is the clearest way to see it: Business Standard plus the Gemini add-on used to come to $32 per user per month, and after the change Business Standard alone was $14 with the AI features inside it.

Two things follow from that. If you read an article written before 2025 saying you must buy Gemini separately for Workspace, it is out of date. And if a supplier offers to sell you "Gemini for Workspace" as an extra licence on a Business edition, ask what exactly they mean, because the features listed below already come with the plan.

Read the first two rows together, because that is the decision. If your team works mainly in email, Business Starter's Gemini in Gmail covers the daily need. If your team writes proposals in Docs and builds reports in Sheets, the AI stops at the inbox on Starter, and the case for Business Standard is made for you.

The data protection difference nobody mentions

This is the part worth reading twice, because it is not a feature difference, it is a privacy difference.

Standard access, on Business Starter

The Gemini app on a Business Starter work account runs at what Google calls Standard access. Which capabilities you get can vary, and, importantly, your chats may be reviewed by humans and used to improve Google's models.

Pro access, on Business Standard and Plus

On Business Standard and Business Plus the Gemini app runs at Pro access. Google states that chats and uploads at this tier are not reviewed by humans and are not used to improve its models.

If your staff are likely to paste client contracts, salary data, patient details or unpublished financials into the Gemini app, that distinction should decide your edition. On Business Starter, tell your team plainly that the Gemini app is for general questions, not for confidential documents. A law firm in Kathmandu or an accountancy practice handling client books should not be on Standard access.

One thing that does not change by edition: Gemini inside the Workspace apps themselves, meaning Gmail, Docs, Sheets and the rest, does not use your content to train Google's models. The distinction above is specifically about the separate Gemini app.

Turning it on: the admin steps

The features do not all appear by themselves. An administrator controls the Gemini app for the organisation.

Open the Admin console and go to Generative AI, then the Gemini app.
Decide who gets it. You can enable it for everyone or for a specific organisational unit, which is how you give it to the sales team and not to interns.
Check the age rule. Google requires users of the Gemini app on a work account to be 18 or older. For a school, that shapes which accounts can have it.
Tell people what is and is not safe to paste, using the Standard versus Pro access difference above.
Give it a fortnight before judging it. The features people actually adopt are usually thread summaries in Gmail and meeting notes in Meet, not the ones in the marketing material.

What Workspace does not include

Being specific here saves an awkward conversation later.

Flow, Veo and Whisk are not in any Business edition. Google puts them behind a separate paid add-on it calls AI Expanded Access, priced by local currency. Buying Business Plus does not get you AI video generation.
There is no AI credits system in Workspace. Credits are how Google meters generation in its consumer AI plans. Workspace has feature availability and usage limits, not a credit balance you spend down.
You cannot add Google AI Pro to a Workspace account. Google sells AI Pro to personal Google Accounts only. If a colleague wants Flow or the consumer Gemini extras, that goes on their personal account, alongside the work account, not on top of it. Long threads with overseas clients

A twenty-message thread with a European supplier, summarised before your morning call. Thread summaries work on every Business edition, including Starter, because they are part of Gemini in Gmail.

Writing in a second language

Proofread and Help me write in Gmail take a rushed reply and make it read properly in formal English. This is the feature staff use most, and it is the one that needs the least training.

Sales figures in Sheets

Asking a sheet of monthly sales what the trend looks like, or generating a starting formula. Business Standard and above only, and check the answer before it reaches a board paper.

First drafts of documents

A proposal outline, a policy skeleton, an offer letter template in Docs. A draft to edit, never a document to send unread.

Meeting notes

Meet's note-taking on Standard and Plus produces a summary of what was said. Translated captions exist too, but the supported language pairs are Google's to set, so verify before promising it for a Nepali and English meeting. Details on our Google Meet page.

Gemini Notebook

Included in every Workspace plan, at a lower tier on Starter. Load your own documents, a tender, a policy manual, a set of reports, and ask questions answered from those sources rather than from the open internet.

So which edition should you buy for the AI?

If email is where the work happens and no confidential material will go into the Gemini app, Business Starter's AI is genuinely useful and you are not missing much. If people write, calculate and meet as much as they email, or if what they type is sensitive, Business Standard is the honest answer, and Business Plus adds no Gemini features over Standard. Buy Plus for Vault, storage and endpoint control, not for AI.

Can we use Flow or Veo with our Workspace accounts?

Can I buy Google AI Pro for a Workspace user?

No. Google sells Google AI Pro to personal Google Accounts only, so it cannot be attached to an account on your company domain. A person who wants it uses it on a personal account.

Why can my colleague not see Gemini even though we are on Business Standard?

The most common reasons are that an administrator has not enabled the Gemini app for that organisational unit, or that the user is under 18, which Google does not permit for the Gemini app on a work account. Features also roll out gradually.
